Job Description

We're looking for an individual who can efficiently manage invoicing processes, ensuring timely and accurate submission to customers. As an Invoicing Associate, you will play a vital role in maintaining strong relationships with clients by delivering high-quality services.

Your primary responsibility will be to prepare and issue invoices to customers, meeting strict deadlines while adhering to company standards. You will also need to enter invoices into customer websites, submit them via electronic data interchange, and ensure all supporting documents are in order.

To excel in this role, you should possess excellent organizational skills, attention to detail, and the ability to work under pressure. Your technical expertise in invoicing software and systems is essential for efficient processing and reconciliation.

You will work closely with our payroll and invoicing teams to streamline processes, provide support for improving platforms, and assist credit control in collecting payments.

Key Responsibilities:
  • Prepare and issue invoices to customers
  • Meet invoice delivery timelines
  • Enter invoices into customer invoicing websites
  • Submit invoices by electronic data interchange
  • Understand key areas of invoicing specific to customers
  • Check each field on the invoices before submission
  • E nsure all supporting documents and backups are in place and attached to invoices
  • Timely and immediate update on invoice submission status in Navision
  • Maintain invoice submission logs and customer invoicing process files as references
  • Work closely with payroll and invoicing teams to accelerate the invoice submission process
  • Send out statements of accounts to customers
  • Reconcile self-billed cases with customer-approved timesheets, any mismatch in billing/payment to be sorted and ensure AR hygiene
  • Handle invoice rejections and credit and rebills
  • Maintain SOP/standard guides for complete invoicing processes account-wise and update them timely
  • Provide continuous support for improving platforms for invoicing
  • Assist credit control in invoicing and collection of payments
