The role of an Administrative Liaison is to provide exceptional customer service and ensure the smooth operation of the front office. The key responsibilities of this position include:
Key Responsibilities- Receiving and transferring calls to relevant personnel or departments as required.
- Managing internal and external communications, keeping stakeholders informed about call updates.
- Maintaining daily administrative tasks, including canteen, housekeeping, and security operations.
- Preparing data related to HR and administration, such as overtime and canteen details.
- Performing other HR and admin-related duties as needed.
- Scanning, printing, and filing documents.
- Coordinating appointments, activities, and schedules.
- Managing front office supplies and inventory.
- Providing guest management services.
- Welcome guests and visitors.
- Arrange refreshments and drinking water.
- Coordinate setting arrangements after confirmation with relevant personnel.
- Organize lunch for visitors.
- Maintain stock levels in the pantry, including tea, coffee, sugar, biscuits, etc.
- Manage crockery items, such as mugs, cups, and guest lunch sets.
- Monitor chocolate stock against WoW cards.
- Supervise the office boy during guest visits and in-office work.
- Review and settle tea invoices monthly.
- Record courier entries daily and dispatch them accordingly.
- Distribute couriers to designated individuals and maintain records.
- Check and settle monthly courier invoices.
- Provide courier details as requested.
- Resolve any courier-related issues.
- Maintain library registers and issue books.
- Sending reminders after due dates.
- Encourage employees to read books.
The ideal candidate should have at least one year of experience in an administrative, receptionist, or similar role. Proficiency in English communication (speaking and writing) is also essential.
