We are looking for a highly organized, proactive, and discreet Personal Assistant to provide seamless support to the Founders. This role combines executive assistance with high-end personal and villa management, requiring impeccable attention to detail, discretion, and the ability to anticipate needs. The ideal candidate ensures that both professional and personal aspects of the Founders' lives are managed flawlessly. Key Responsibilities: 1. Executive & Personal Support - Manage the Founders' calendars, meetings, and travel plans with precision. - Handle correspondence, calls, and emails with the utmost confidentiality. - Prepare briefs, presentations, and meeting minutes, and ensure timely follow-ups. - Act as the first point of contact for internal teams, business partners, and VIPs. - Organize and maintain structured records and documentation. 2. Villa & Lifestyle Management - Oversee day-to-day operations of the Founders' villa, ensuring smooth functioning and high standards. - Supervise household staff, security, drivers, and external vendors. - Manage procurement of supplies, home essentials, and hospitality arrangements. - Coordinate property maintenance, repairs, and upgrades with vendors or service providers. - Ensure the villa is always guest-ready and maintains luxury standards. 3. Travel & Logistics - Plan and manage domestic and international travel, including flights, accommodations, and ground transportation. - Prepare detailed itineraries, manage travel documentation, and handle expense reporting. 4. Confidentiality & Discretion - Maintain the highest level of confidentiality and discretion in all matters. - Handle sensitive information with integrity and professionalism. 5. Personal & Financial Coordination - Manage petty cash, villa-related expenses, and vendor payments. - Liaise with finance teams for reconciliations, documentation, and approvals. - Assist the Founders with personal errands, appointments, and day-to-day needs. Desired Profile: - Graduate / Postgraduate in Business Administration, Hospitality, or related field. - 5-10 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting Founders, CXOs, or UHNWIs. - Exceptional organizational, interpersonal, and communication skills. - Tech-savvy with proficiency in MS Office, scheduling tools, and villa management software. - Discreet, adaptable, and able to anticipate needs proactively. - Polished, professional demeanor with a service-oriented mindset. - Comfortable working in high-pressure, fast-paced environments and beyond standard hours when required.
