Assistant Executive

1. Export Documentation:
Prepare and review export documentation, including commercial invoices, packing lists, and shipping instructions.
Ensure compliance with international trade regulations, such as customs requirements, export controls, and trade agreements.
Coordinate with internal teams, customers, and freight forwarders to gather necessary documentation and resolve any discrepancies.
2. Logistics Coordination:
Liaise with freight forwarders, shipping lines, and transportation providers to schedule shipments and ensure timely delivery.
Arrange for appropriate packaging, labeling, and insurance for export shipments.
Track and monitor shipment progress, providing updates to internal stakeholders and customers as needed.
3. Customs and Compliance:
Stay updated on import and export regulations, customs procedures, and trade compliance requirements.
Ensure all necessary permits, licenses, and certificates are obtained for export shipments.
Prepare and submit export-related documents to customs authorities, ensuring accuracy and adherence to regulations.
4. Customer Relationship Management:
Serve as the primary point of contact for export-related inquiries from customers.
Provide timely and accurate information regarding order status, shipping details, and documentation requirements.
Address customer concerns or issues related to exports, coordinating with internal teams as necessary to resolve them.
5. Order Processing and Coordination:
Receive and process export orders, ensuring accurate and timely order entry.
Coordinate with internal departments, such as production, logistics, and finance, to fulfill export orders.
Monitor order progress, proactively identifying and resolving any delays or issues that may arise.
6. Export Sales Support:
Assist the sales team in generating export quotations, preparing sales contracts, and reviewing terms and conditions.
Collaborate with the sales team to identify new market opportunities and potential customers for export expansion.
Provide market intelligence and analysis related to export markets, competitors, and industry trends.
7. Record Keeping and Reporting:
Maintain accurate export records, including order details, shipment documentation, and compliance records.
Generate regular reports on export activities, including shipment volumes, revenue, and customer feedback.
Analyze export data to identify trends, areas for improvement, and potential cost-saving opportunities.
8. Continuous Improvement:
Identify process improvements and efficiency enhancements in export operations.
Implement best practices and standard operating procedures to optimize export processes.
Stay updated on industry developments and export regulations to ensure compliance and competitive advantage.
