Front Office Assistant

**Key Responsibilities**:
- **Reception & Visitor Management**:
- Greet and welcome visitors and clients in a professional and friendly manner.
- Direct visitors to the appropriate departments or personnel.
- Ensure proper visitor logs and issue visitor passes.
- **Communication Management**:
- Answer and direct phone calls promptly and professionally.
- Relay messages and manage communication between departments as needed.
- **Appointment Scheduling**:
- Manage and schedule appointments, meetings, and conferences for executives and managers.
- Maintain and update the calendar of appointments and meetings.
- **Administrative Support**:
- Perform general administrative duties, such as filing, photocopying, and data entry.
- Maintain office supplies and assist in inventory management.
- Assist in preparing reports, presentations, and other documents as needed.
- **Office Environment Management**:
- Ensure the front office area is clean, organized, and presentable.
- Ensure all office equipment is functioning properly and coordinate repairs if necessary.
- **Handling Mail and Deliveries**:
- Receive and distribute incoming mail and packages.
- Prepare and send outgoing mail and packages.
- **Customer Service**:
- Address and resolve any client or visitor concerns or complaints in a professional manner.
- Ensure a high level of customer satisfaction by providing excellent service.
- **Support to Other Departments**:
- Provide support to different departments as required (e.g., human resources, accounts, etc.).
- Assist in organizing office events and meetings.
**Required Qualifications**:
- **Education**: High school diploma or equivalent; a degree in Business Administration or a related field is a plus.
- **Experience**: Previous experience in front office or customer service roles is preferred (1-2 years).
- **Skills**:
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to handle sensitive and confidential information.
- Basic knowledge of office equipment (printers, telephones, etc.).
Pay: ₹9,000.00 - ₹15,000.00 per month
