Personal Assistant to CEO

**Key Responsibilities**:
- **Executive Support**:
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel.
- Prepare and organize documents, presentations, and reports for meetings.
- Assist in the preparation and review of agendas and minutes for meetings.
- **Calendar & Scheduling Management**:
- Maintain and update the CEO’s calendar to ensure all appointments, meetings, and events are accurately scheduled and well-prepared.
- Coordinate complex scheduling arrangements, including internal and external meetings, conferences, and travel.
- **Travel Management**:
- Plan and organize both domestic and international travel, including flights, hotels, ground transportation, and itineraries.
- Ensure all necessary travel documents are up-to-date (e.g., passports, visas).
- Anticipate the CEO's travel needs and ensure arrangements are in place for a smooth trip.
- **Communication & Liaison**:
- Act as the primary point of contact between the CEO and internal/external stakeholders, ensuring effective communication on both urgent and routine matters.
- Handle confidential information with discretion and professionalism.
- Draft, proofread, and manage correspondence on behalf of the CEO.
- **Project Coordination**:
- Assist with various ad-hoc projects as directed by the CEO.
- Track progress and provide updates on key initiatives and tasks.
- Support team and executive-level initiatives and initiatives as required.
- **Event Planning & Coordination**:
- Assist in organizing corporate events, meetings, and client engagements, including logistics, catering, and venue coordination.
- Help organize internal and external events, such as conferences, seminars, and team-building activities.
**Required Skills & Qualifications**:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting C-suite executives.
- Exceptional organizational and time-management skills.
- Excellent written and verbal communication skills, with a keen attention to detail.
- Ability to multitask and work under pressure in a fast-paced environment.
- Strong discretion and the ability to handle sensitive information with professionalism and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Strong problem-solving and critical-thinking abilities.
- Flexibility to work outside regular office hours when required.
- A proactive, can-do attitude with the ability to anticipate needs and take initiative.
**Preferred Qualifications**:
- A Bachelor’s degree or equivalent experience.
- Experience in working within a high-growth or fast-paced company.
- Familiarity with project management tools (e.g., Asana, Trello).
- Foreign language skills (depending on the company’s international dealings).
