**Designation -** AVP - Facility & Administration

**Years of Experience - **min 35

**KRA**:
Lead team of all Regional Admin Managers spread across in different cities to manage and maintain 250+ offices across PAN India.

**1. Lease Deed, vendor coordination & compliances**:

- Establish Policies and Procedures to ensure Facilities across India are kept in best condition and delightful experience for all users.
- Lead relocation and new offices expansion site search, negotiations, evaluation, fitouts etc to ensure timely delivery of new branches/relocation.
- Regular coordination with sales Head, legal & project management team to ensure pro-active delivery.
- Track all lease deeds’ expiry date & ensure timely renewal for all lease deeds.
- Negotiate terms & conditions (including commercial, operational & legal terms)
- Guide admin managers to serve as the SPOC for all lease deeds. Act as contractual “bridge” between internal and external stake holders thereby ensuring timely closure.
- Maintain contractual records and documentation such as lease deed copy with approval note and control of all lease correspondence, landlord contact information, property fact sheets etc.
- Build rapport with landlords
- Coordinate with landlords for ongoing issues.
- Ensure timely payments for rentals, electricity and other vendor payments by coordinating with finance.
- Work with fitout suppliers to ensure timely handover of any new branches.
- Ensure 100% compliance adherence of central & state laws at branches.
- Evaluate alternate properties to optimize the cost of operations.
- Coordinate with regular suppliers for repair & maintenance work.
- Coordinate with municipal cooperation and other authorities for required permissions.

**2. Facility Services**
- SPOC for Management & Facilities Head for all facilities including housekeeping, security, parking for Head Office & All branches.
- Coordinate with suppliers for AMCs related to Facilities CAPEX.
- Manage petty cash, procure to pay system purchase requisition, GRN process
- Managing events & trainings
- Manage travel desk

**3. MIS**
- Ensure team is managing adequate MIS for all spends, lease deeds, and other reports required to monitor different KPIs of Facilities & publish reports to entire team.
- Create monthly dashboards for leadership
- Create and give presentations to leadership to showcase Facilities performance

**Measure of Success**:
1. Adherence of TAT for service requests & projects

2. Regular dashboards

3. Internal Reviews

4. Feedback from internal/external stake holders

5. Customer Satisfaction Survey Results

6. Establishment of policies & procedures
