Executive Assistant

Key Responsibilities:
1. Calendar and Meeting Management:
- Coordinate and manage the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
- Prioritise and reschedule meetings, as necessary.
- Prepare agendas, take minutes, and follow up on action items for key meetings.
- Research and providing consolidated information on various topics
2. Communication Handling:
- Act as the point of contact for internal and external communications, filtering inquiries and ensuring prompt responses.
- Draft, review, and send out communications on behalf of the executive.
- Maintain confidentiality and professionalism when handling sensitive information.
- Work as a part of team and interacting with others. Working with different business functions as needed (Accts & Finance Dept, HR, etc )
3. Travel Coordination:
- Plan and book travel arrangements, including flights, accommodation, transportation, and itineraries.
- Handle travel-related expenses, ensuring all receipts and records are documented accurately.
4. Documentation and Filing:
- Organize and maintain files, reports, and records, both electronically and physically.
- Prepare and edit documents, presentations, and reports as needed.
5. Task Management:
- Track and prioritize tasks for the executive, ensuring deadlines are met.
- Provide reminders and updates on project statuses and important deadlines.
6. Administrative Support:
- Manage office supplies and equipment for the executive.
- Perform general clerical duties such as photocopying, scanning, and filing.
- Liaise with other departments and staff members to ensure seamless communication.
7. Event Coordination:
- Assist in planning and organizing events, conferences, and business functions as needed.
- Handle event logistics, guest lists, and post-event follow-ups.
8. Personal Errands (if applicable):
- Handle personal tasks for the executive, such as household management, appointments, or other personal arrangements as requested.
Qualifications:
- Bachelor’s degree or relevant certification (preferred but not mandatory).
- Proven experience as a Personal Secretary, Executive Assistant, or similar role.
- Excellent knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional time management, organizational, and multitasking abilities.
- Strong written and verbal communication skills.
- Ability to work independently and handle confidential information with discretion.
- Proactive approach, anticipating needs and addressing them without supervision.
- Firm grasp on how to use AI tools such as Chatgpt, Copilot etc.
Preferred Skills:
- Familiarity with project management tools. (Teams, Slack, Monday)
- Multilingual skills (proficiency in English, also preferably Hindi and Kannada).
Pay: ₹350,000.00 - ₹1,000,000.00 per year
