Executive Assistant
REALISATIONS CLES ATTENDUES Collaboration avec le Manager: - Gère et optimise le temps du manager en toute autonomie : traite tous les sujets dans les bons délais (yc déplacements, documents, dossiers, reportings, suivi budgétaire). - Elabore le calendrier annuel de l’entité en prenant en compte toutes les échéances du Groupe et de l’entité. - Organise les réunions et séminaires (logistique, participants et contenu), propose les ordres du jour pertinents, collecte les informations nécessaires auprès de clients - partenaires internes, prépare les supports avec exactitude, participe en tant que membre de l’Equipe de Direction, rédige et diffuse les comptes rendus et assure le suivi des actions identifiées. - Consolide et analyse l’information nécessaire au bon fonctionnement de l’entité, en interne comme en externe. - Initie des réunions ad-hoc en fonction des besoins identifiés et de l’actualité interne - externe. - Lit les mails du Manager, alerte le Manager sur les mails importants/urgents et sur des réponses à donner. - Traite directement les mails du Manager. (Optionnel) Traitement des demandes : - Répond aux demandes internes - externes dans les délais et le respect des valeurs du Groupe afin d’assurer une bonne image de l’entité - du Groupe. - Priorise, gère les urgences tout en portant une attention particulière aux impacts et aux éventuelles tensions à atténuer. - Anticipe les besoins - demandes pour contribuer à la performance de l’entité et du Groupe. Prise en charge de dossiers : - Collecte les informations pertinentes auprès des équipes de l’entité, des partenaires internes et toute autre source utile pour préparer les dossiers nécessaires à l’activité de son Manager. - Prend en charge des missions - dossiers complémentaires en accord avec son Manager. - Effectue des achats et assure le rôle de valideur par délégation (optionnel) dans divers domaines (outils de commandes - factures, déplacements, etc ). - Suit le budget de l’entité. (optionnel) Animation de son réseau d’assistant(e)s : - Collecte et diffuse toutes les informations nécessaires à l’activité des assistantes de l’Equipe de Direction (et plus largement au réseau de l’attachée). - Organise et anime des réunions d’échange et des points réguliers avec son équipe d’assistantes. - Assure le management hiérarchique ou fonctionnel des assistantes de son réseau. (optionnel).
