Job Title: HSEQA Executive / Assistant (Shipping_Govandi_Mumbai)
OBJECTIVES OF THE POSITION
- To handle the HSSE requirements of an organization as well as of vessels. Responsible for the updation of manuals, tracking of crew mail etc.
- We are seeking a dynamic and dedicated HSEQA Executive / Assistant to join our team in Mumbai.
- This role requires a strong understanding & learning of regulatory compliance, risk management, and continuous improvement processes within the maritime industry.
Location: Sai Commercial Annexee, BKS Devashi Marg, Govandi Station Road, Govandi East, Mumbai.
Key Responsibilities:
- Administrative assistants in organizing, managing, and keeping an office running.
- Responsible for clerical and organisational tasks like file organising, scheduling appointments, assisting other staff members, and drafting correspondences or messages.
- Prepare world-wide security scenario (Security Alerts) to Head office on last day of the month.
- Tracking of ship registration and ensure vessels are reporting promptly to Naval authorities (MSCHOA, Flag, IFC, MTISCGOG, S20, etc).
- Schedule of SSAS Test for all vessels and update test dates accordingly.
- Safety Moment sent weekly to save in QMS (QMS/Gen Info / Ships / Safety Moment).
- Updating & follow up on office reply for Q3 (HSE meeting) records to all vessels.
- Shipboard tasks follow up with vessel, update Phoenix and close out (verification level: message).
- Next port of call message to ship on every Wednesday. Monthly review of JHA and RA.
- Assisting in Manual preparation for new take overs.
- CR25/reports for various circulars and alerts to be compiled regularly.
- Daily work planning monitoring.
- Tracking of crew mail / acknowledgement letter.
- To ensure compliance with all applicable laws & regulations, ISO standards and Industry standards by circulating the company's SMS periodically basis latest regulations & Standards to ships and all departments.
- Clearing of invoices w.r.t. manual related stationary for Quality manuals after due approvals from field office Head & send to Head office for payment approval.
- Calculate the safe days of all ships and sending data to Head office in a monthly basis.
- Data collection of Q1, Q2, Q3, Q4, Q5, ENV 6 data on timely basis.
- Follow up for compilation of consumption reports, campaign reports from offices & ships as required on timely basis. Ensure flag circulars are up to date
- Distribution of Company Manuals (IMS, SOPEP/SMPEP, BWMP and SSP), Books, Posters, Checklist and Visitor pass for New Vessels.
- Hard copy In charge of printing distribution to ships and offices.
- Takeover In charge of preparing and sending complete set of manuals, books, visitors card and posters to agent and ensure same delivered to ships. (Posters and CDs - printing and circulation to vessels and to field offices as required).
- Flag Circulars to update latest in the department weekly report and upload in Phoenix.
- SSP Annex 1 - Security contacts list to update every year and to prepare CD accordingly
- Compile and calculate Vessels Exposure hours monthly and send to Head Office.
- All Alerts / Circulars / Campaign tracking of replies and collate feedback as required.
- Able to do good follow up and have good organising skills.
- Able to work independently with good communication skills.
- Should have Intermediate skills for Word, Excel, PowerPoint, etc.
- Should be aware of HSEQA in Shipping Industry.
- Qualification Required: Any Graduate with min. 1 year experience into any of the administrative profile.
Pay: ₹300,000.00 - ₹500,000.00 per year
