**Job Description: Executive Assistant to CEO**
**Location**: Soni Hospital
**Position Overview**:
As an Executive Assistant to the CEO at Soni Hospital, you will play a pivotal role in providing high-level administrative support to the Chief Executive Officer. You will be responsible for managing the CEO’s schedule, coordinating meetings, handling confidential information, and ensuring efficient communication between the CEO and internal/external stakeholders.
**Key Responsibilities (KPR)**:
- **Calendar Management**: Efficiently manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- **Communication Liaison**: Act as the primary point of contact between the CEO and internal/external stakeholders, including screening and prioritizing incoming communications.
- **Meeting Coordination**: Coordinate and prepare materials for meetings attended by the CEO, including agenda creation, minutes taking, and follow-up actions.
- **Confidentiality Maintenance**: Handle sensitive and confidential information with discretion and professionalism.
- **Document Preparation**: Prepare and edit correspondence, reports, presentations, and other documents as required by the CEO.
- **Travel Arrangements**: Arrange travel itineraries, accommodation, and logistics for the CEO's business trips, ensuring cost-effectiveness and convenience.
- **Office Management**: Oversee the CEO’s office operations, including managing supplies, equipment, and vendors.
- **Project Support**: Provide administrative support for special projects initiated by the CEO, including research, data analysis, and presentation preparation.
- **Follow-up and Tracking**: Track action items and deadlines, ensuring timely completion of tasks assigned to the CEO and relevant stakeholders.
- **Relationship Building**: Foster positive relationships with internal teams, external partners, and stakeholders on behalf of the CEO.
**Key Performance Indicators (KPI)**:
- **Calendar Efficiency**: Maintain an organized and updated calendar for the CEO, minimizing scheduling conflicts and maximizing productivity.
- **Communication Effectiveness**: Ensure timely and accurate communication between the CEO and stakeholders, with a focus on clarity and professionalism.
- **Meeting Management**: Ensure seamless coordination of meetings attended by the CEO, with accurate documentation and follow-up on action items.
- **Confidentiality Compliance**: Adhere to strict confidentiality standards in handling sensitive information, with no breaches reported.
- **Document Accuracy**: Produce error-free documents and presentations, meeting the CEO’s standards for quality and professionalism.
- **Travel Logistics**: Arrange travel plans for the CEO smoothly and efficiently, minimizing disruptions and optimizing cost-effectiveness.
- **Project Support**: Provide proactive and effective support for CEO-led projects, contributing to their successful execution and timely completion.
- **Task Follow-up**: Ensure timely completion of tasks assigned to the CEO and relevant stakeholders, with no overdue items.
- **Office Management Efficiency**: Maintain the CEO’s office operations smoothly, ensuring that supplies are stocked, equipment is functional, and vendors are managed effectively.
- **Stakeholder Satisfaction**: Foster positive relationships with internal teams, external partners, and stakeholders, as reflected in feedback and collaboration outcomes.
Pay: ₹15,000.00 - ₹30,000.00 per month
