Key Responsibilities:
- **Front Desk Management**:
- Greet and welcome visitors with a positive and helpful attitude.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Answer, screen, and forward incoming phone calls and handle general inquiries.
- Maintain security by following procedures and controlling access via the reception desk (monitor logbook).
- **Administrative Support**:
- Provide administrative support to the office, including scheduling meetings, managing calendars, coordinating appointments and vendor management.
- Assist in preparing and formatting documents, reports, and presentations.
- Handle incoming and outgoing mail and courier services.
- Maintain office supplies inventory and place orders as necessary.
- **Client and Staff Coordination**:
- Assist clients and staff with general inquiries and provide information as needed.
- Coordinate with different departments to facilitate smooth office operations.
- Support HR with onboarding new employees, including preparation of orientation materials and setting up workstations.
- **Data Management**:
- Maintain and update company databases and client contact information.
- Ensure the confidentiality and security of sensitive information.
- Assist in maintaining records of office expenses and costs.
- **Other Duties**:
- Perform other administrative duties as assigned by management.
- Provide backup support for other administrative staff when necessary.
Qualifications and Skills:
- **Education**: High school diploma or equivalent; additional qualifications in office administration are a plus.
- **Experience**: Proven work experience as a receptionist, front office representative, or similar role.
- **Skills**:
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Professional attitude and appearance.
- Customer service attitude with the ability to handle clients and staff needs efficiently.
**Working Hours**: Full-time position with standard office hours; occasional overtime may be required during peak periods.
