Executive Assistant

We are hiring an Executive Assistant for our UK client, here is a little about them in their own words:
Their business started as a local milk round inspired by David Attenborough's Blue Planet and the need to reduce plastic waste. In the space of a few short years, they've grown from four friends and a truck to a vast network of milkmen and women working tirelessly to reduce consumer waste.
Their mobile tech supports their 'eco-warriors on early' by connecting them to our customers via online ordering and driver apps, facilitating convenient doorstep deliveries. The tech also connects them to their network of independent dairies, farmers, and suppliers who are mutually committed to sustainable produce and plastic-free packaging. They continually innovate to expand their return and reuse range, and their business is ever-evolving.
However, they are purpose-driven, and their environmental goals are steadfast. Their mission is to revolutionise consumer habits by delivering fresh ways to return and reuse packaging, shop ethically, and feel good about convenience. Having expanded beyond the UK to launch in the US last year, we are exploding with double-digit monthly growth and looking to continue this with further international expansion.
Responsibilities - What You'll Be Doing:
Scheduling
Agendas for visits
Planning the most effective travel early (UK/US) so it's the most cost efficient (flights, rental, trains, hotels etc)
Calendar management
Meeting scheduling (external and internal)
Investor & board scheduling
Board meeting schedule management
Scheduling investor meetings for Simon and Lambro
Travel for the board to US and/or UK if required
Meeting performance and note/actions taking
Support in arranging and setting up key meetings
Note and action taking
Ensuring minutes are kept and actions are completed
Administrative and operational support
Organize digital files, maintain records, and streamline workflow efficiency.
Handle expense reports, invoicing, and basic financial tracking as needed.
Draft and proofread emails, reports, and meeting summaries with a professional touch.
Track key projects, deadlines, and deliverables, ensuring executives stay on top of priorities.
Assist with research, document preparation, and presentation creation for meetings.
Support as/when required with personal admin (e.g. visa applications or mortgage
Proactive Problem-Solving & Adaptability
Anticipate needs, troubleshoot issues, and offer solutions to optimize executive productivity.
Adapt to the fast-paced startup environment with a flexible and resourceful approach
Work Schedule
As the client is UK-based, you will be required to work in UK daytime:
Monday to Friday
12pm - 9pm GMT (5.30pm - 2.30am IST)
Pay & Benefits
- What you'll get in return:
Annual CTC: 8 - 11 lakh per year
Device: An annual reimbursement of Rs 24,000/- for using your own laptop or computer.

Experience in a busy, rapidly growing scale up business with international offices (preferred)
Competence in using MS Office, Slack and Notion
English Level: professional
