Role Overview:
As an Executive Assistant at Central Data Storage, you will play a pivotal role in supporting our top-level executives and contributing to the overall efficiency and productivity of the organization. You will work closely with the CEO and the Chief Of Staff, providing comprehensive administrative and executive support.
Responsibilities:
- Executive Support:
- Provide direct administrative support to the CEO and the Chief Of Staff.
- Represent the executives both internally and externally with professionalism and discretion.
- Manage complex travel arrangements and coordinate logistics.
- Plan and execute leadership offsites and events.
- Track expenses and manage budget oversight.
- Manage additional special projects across Ops, GTM, Admin, and Central Data Storage.
- Maintain performance dashboards for overall departments and ensure KPI’s and KRA’s are being delivered every quarter
- Calendar Management:
- Independently and efficiently manage executive calendars, scheduling meetings, appointments, and events.
- Coordinate internal meetings, including one-on-ones, interviews, All-Hands, and more.
- Own and drive meeting agendas, including action items and follow-ups.
- Proactively initiate follow-ups with client, team, and investor calls post-initial meeting.
- Communication and Documentation:
- Prepare slide decks and team-wide correspondence.
- Draft and edit documents, emails, and presentations.
- Help in preparing offer letters, termination letters, and other documents
- Create minutes of the meetings for every meeting, and plan the next steps.
- Scrum Related Activities:
- Contribute to scrum activities as needed, such as attending daily stand-ups, participating in sprint planning, and assisting with backlog management.
- Ensure tasks are being updated on Monday.com and ensure each department is on track with their monthly goals and monitor their KPIs & KRA's
Requirements
- Exceptional organizational skills and attention to detail.
- Similar EA experience of 3-4 years.
- Strong communication and interpersonal skills.
- Ability to work independently and proactively.
- Proficiency in Microsoft Office Suite especially in Excel (Word, Excel, PowerPoint ).
- Proficiency in Google Workspace.
- Experience with project management tools (e.g., Monday, Asana, Trello).
- Ability to adapt to a fast-paced and dynamic work environment.
- A passion for delivering strategic value and contributing to the success of the organization.
- Available to work remotely from 8:30 AM CST- 5:30 PM CST
