Job Description

Position Title: Executive Assistant / Management Trainee (to Directors)
Department: Chairmans / Directors Office
Role Overview

This position is designed to provide structured exposure and hands-on experience in assisting top management with the daily functioning and administration of the company. The role offers a unique opportunity to work closely with the Directors, gaining insight into strategic business processes across key functions such as Operations, HR, Procurement, Safety, Administration, and Sales.

Candidates will contribute to high-impact decisions, ensure timely follow-ups, and enhance coordination across departments. The role demands adaptability, strong ownership, attention to detail, and confidentiality. It may involve extended working hours, travel to site locations, and managing dynamic challenges.

Key Responsibilities

  1. Calendar & Schedule Management

  2. Manage calendars, meetings, appointments, and travel schedules of Directors.

  3. Prioritize competing requests and ensure timely updates.

  4. Documentation & Reporting

  5. Maintain records, reports, presentations, and confidential documents.

  6. Draft, review, and organize correspondence, reports, and presentations.

  7. Coordination & Communication

  8. Coordinate internal and external communication, meetings, and stakeholder interactions.

  9. Assist in execution of cross-departmental tasks and special projects.
  10. Maintain structured follow-up systems for action items.

  11. Operational & Strategic Support

  12. Support Directors in day-to-day administration and decision-making.

  13. Contribute to high-level discussions and ensure smooth implementation of directives.
  14. Prepare data summaries and presentations for management review.

Required Skills & Competencies

  • Excellent written and verbal communication skills in English and Hindi.
  • Proficiency in MS Office Suite & Google Workspace (Word, Excel, PowerPoint, Sheets, Slides).
  • Knowledge of data analysis and visualization tools (Excel, Power BI, Google Data Studio) is an added advantage.
  • Strong organizational and time-management skills.
  • Attention to detail and ability to multitask under pressure.
  • Professional conduct, discretion, and ability to maintain confidentiality.
  • Proactive, adaptable, and eager to learn.

Qualifications & Experience

  • Minimum: Bachelor's degree in Science, Commerce, Arts, Engineering, or Management.
  • Preferred: MBA or Postgraduate Degree in Management or related field.
  • Experience:

  • Freshers with strong aptitude and willingness to learn may apply.

  • Minimum 1–2 years of experience in an administrative, coordination, or executive support role is preferred.
