Role summary: Our client is seeking an exceptionally talented and motivated Executive Secretary to the CEO to join their high-growth, rapidly scaling company. This role is pivotal in ensuring seamless coordination, communication, and execution of strategic initiatives across various departments within the organization other than managing the CEO's day to day routine & calendar management. The ideal candidate should possess a strong analytical mindset, a flair for strategic thinking, ability to smartly collaborate with different company teams, and a long-term vision for effectively managing the CEO's office. A congenial personality, exceptional communication skills - both written and spoken, & an ambitious growth mindset are essential to excel in this role.
Our client essentially is seeking an experienced and dedicated Executive Secretary to support their CEO in managing his executive office (he works from the US & India intermittently) and ensuring seamless communication and coordination. As the Executive Secretary, you will be the point of contact for international client calls, attending alongside the CEO and taking detailed meeting minutes. This role requires exceptional organizational skills to follow up with department heads on action items post-meeting and provide comprehensive reports to the CEO.
Key Responsibilities:
- Coordinate and participate in international client calls alongside the CEO, often in varying time zones.
- Take accurate and detailed meeting minutes, summarizing discussions and action points.
- Follow up with department heads to ensure timely completion of action items discussed in meetings.
- Manage the CEO's schedule and deliverables by providing timely reminders for meetings, tasks, and action items.
- Act as a liaison between the CEO and internal departments, ensuring effective communication and task prioritization.
- Handle confidential information and maintain discretion at all times.
Requirements:
- Proven experience of 3-5 years as an executive secretary or similar role supporting C-level executives.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with international clients and stakeholders.
- Strong organizational skills and attention to detail, capable of managing multiple tasks efficiently.
- Proficient in using office software (e.g., Microsoft Office suite) and calendar management tools.
- Ability to work independently and proactively anticipate the needs of the CEO.
- Flexibility to adapt to changing schedules and work outside regular hours when necessary.
