Executive Assistant to Managing Director

The Executive Assistant to the Managing Director (MD) provides high-level administrative support, ensuring the smooth management of the MD’s day-to-day activities while contributing to Human Resources functions. This role is critical in enabling the MD to focus on strategic priorities by efficiently handling operational, organizational, and administrative tasks.
Key Responsibilities
1. Administrative Support Manage the MD’s calendar, including scheduling meetings, appointments, and travel arrangements.
Handle correspondence (emails, letters, calls) and prioritize communications for the MD.
Prepare and edit presentations, reports, and other documents for meetings or events.
Organize and maintain confidential files and records.
2. Meeting Coordination Plan and organize meetings, including preparing agendas, materials, and minutes.
Ensure follow-up on action items and decisions from meetings.
Act as the primary point of contact between the MD and internal/external stakeholders.
3. Communication & Liaison Act as a gatekeeper and intermediary between the MD and other departments or external contacts.
Screen and prioritize incoming communications, ensuring timely responses.
Represent the MD in a professional manner during interactions with clients, stakeholders, and team members.
4. Project Management Assist the MD in tracking and monitoring ongoing projects.
Conduct research and provide insights to aid decision-making.
Coordinate cross-functional teams to ensure project deadlines are met.
5. Travel & Event Management Arrange complex travel itineraries, accommodations, and logistics.
Plan and execute events, conferences, or company functions as required.
6. General Office Management Oversee office supplies and equipment related to the MD’s activities.
Handle expense reports, reimbursements, and budget tracking for the MD.
Assist in ad hoc administrative tasks to ensure the MD’s efficiency.
Key Competencies and Skills Exceptional Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
Strong Communication: Excellent written and verbal communication skills.
Discretion and Confidentiality: Proven ability to handle sensitive information with utmost professionalism.
Attention to Detail: Meticulous in planning, reviewing documents, and organizing activities.
Tech-Savvy: Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and collaboration tools.
Problem-Solving: Quick thinking and the ability to resolve challenges independently.
Interpersonal Skills: Ability to build relationships with internal and external stakeholders.
HR Knowledge: Familiarity with HR processes, policies, and employment laws.
Qualifications and Experience Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
Proven experience as an Executive Assistant, preferably supporting C-level executives.
Experience in project coordination or office management is a plus.
Knowledge of (industry-specific) practices and terminology (if applicable).
Work Environment Office-based with occasional travel as required.
Flexibility to work extended hours when necessary.
