Position Overview:

This is a position for an Experienced Business Support Specialist located in Bangalore and in support of the Boeing Global Enterprise Services (BGES) organization. The position will report to the Business Support Manager (BSM) and will receive day-to-day direction from this manager. The candidate will work closely with local agencies and vendors to proactively support the business needs related to Boeing personnel as a result of emerging business needs. This includes but is not limited to Boeing infrastructure (office facilities), employee services, safety and security (disaster planning and business continuity) within the assigned location, and payment process for vendors. The candidate should have a good command of the English language. Previous work experience with multinationals in similar environments is preferable.

Position Responsibilities:

The responsibilities for this position include, but are not limited to, the following:

Responsible for managing Workplace services through various 3rd party service providers. Solid understanding of Facilities Management Operation. Maintaining excellent relationships with various Business stakeholders and Service Providers. Actively engage with Business units to fulfil business requirements. Coordinating with Landlord to ensure smooth building operations. Able to measure vendor performance through scorecard/process audits. Ability to analyze the data and make the decision based on the data (Data-driven approach). Responsible for Asset management i.e. end life cycle of an asset until disposal & looking after quarterly/annual physical verification of assets Ability to collaborate with other functions like Global Real Estate/Finance/HR/Security etc. as & when required to deliver the assigned scope of work. Responsible for ensuring safety & security at the workplace and implementing EHS policies. Responsible for representing BIES for various audits like Quality/ISO/BCP including recertification(s). Supervise emergency response procedures such as dialogic/call tree/ERT members Manage end-to-end site operations with a special focus on driving value through service delivery improvements, cost-saving initiatives, etc. Should be familiar with the compliance requirements for building/facility operations Responsible for the upkeep of the facility at all the times Sharing inputs on annual budget allocation & tracking planned vs actual spent Ability to ideate, develop, lead and execute operational excellence projects Maintains the operation-related records and documents including (not limited to) Building compliance

Basic Qualifications (Required Skills/Experience):

Minimum of Bachelor’s degree, Graduate in hospitality/administration/Engineering or equivalent. At least 10+ years of relevant experience working in a Real Estate/IFM/Administrative environment Able to collaborate with internal team members as well as external stakeholders Entrepreneurial mindset and Ability to foster two-way collaboration Experience in Facilities Management / Workplace services is strongly required. Ability to facilitate decision-making and Proactive risk management Effective Communicator with good verbal and written communication skills Knowledge of advanced Microsoft Office tools (Word, Exel, PowerPoint, etc) People Management with good interpersonal skills and Intermediate analytical skills Quick learner & has an eye for detail Customer-focused and Capability to manage and leading teams

Preferred Qualifications (Desired Skills/Experience):

A postgraduate qualification will be an added advantage. Manages and supports the integration of activities like facilities occupation including facilities planning, analysis, project administration, and property administration, as required from time to time. Solid understanding of Facilities Operation, Space Planning and Data analysis. Responsible for facility takeover from the Project team which includes snagging / de-snagging / track and maintaining all facility-related documentation etc. Orienting the new joiners with Boeing India and BIES function. Implement innovative principles of Space planning in tune with the Business requirement. Able to define the Process Flow for various processes and able to optimize to reduce manual efforts. Handled multiple sustainability projects and various cost-saving projects. Should have managed small and large projects. Ability to lead and manage small minor project works on-site. Responsible for completing Procure to Pay cycle (P2P) & coordinating with relevant business partners(s).

Typical Education & Experience:

Minimum of Bachelor's degree, Graduate in hospitality/administration / Engineering.
