Brief about the Role:

We are seeking a proactive, organized, and detail-oriented Executive Assistant to provide high-level administrative support to our Director. The ideal candidate will act as a trusted partner, ensuring efficient operations by managing schedules, communications, and critical tasks. This role requires discretion, professionalism, and the ability to thrive in a fast-paced environment.


Roles & Responsibilities:

Administrative Support

  • Manage and maintain the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare and review documents, reports, presentations, and correspondence.
  • Organize and coordinate events, conferences, and executive meetings.
  • Monitor and respond to emails and calls on behalf of the executive, as needed.

Operational Efficiency

  • Act as a liaison between the executive and internal/external stakeholders.
  • Track and manage deadlines, ensuring timely completion of projects and tasks.
  • Develop and maintain filing systems for easy access to critical information.
  • Support operational projects and research, compiling data for decision-making.

Relationship Management

  • Build and maintain strong relationships with team members, clients, and key partners.
  • Ensure clear communication and follow-ups across departments.
  • Represent the executive in meetings or discussions when necessary.

Problem-Solving and Initiative

  • Anticipate the needs of the executive and address issues proactively.
  • Identify inefficiencies and recommend process improvements to optimize workflows.
  • Adapt quickly to shifting priorities and last-minute changes.


Education & Skillset required:

  • Bachelor’s degree in Business Administration or a related field (preferred but not required)
  • 3+ years of experience in a similar role, preferably supporting C-level executives
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Slack, Zoom, Trello).
  • Excellent written and verbal communication skills.
  • Discretion and ability to handle confidential information with professionalism.
  • Strong problem-solving skills and the ability to work independently.
  • Familiarity with travel coordination and event planning.
  • A self-starter with a positive attitude and team-oriented mindset.
