We are seeking, for our Client, a highly organized, proactive, and detail-oriented Executive Assistant to support the Marketing Director. The successful candidate will be responsible for managing day-to-day administrative tasks, ensuring smooth communication across teams, and helping streamline marketing operations. This role requires someone who thrives in a fast-paced environment, can manage multiple priorities with precision, and maintains confidentiality while providing high-level assistance.
Key Responsibilities:
1. Administrative Support: Provide comprehensive administrative support to the Marketing Director, including managing schedules, appointments, and meetings.
2. Communication: Act as the point of contact between the Marketing Director and internal/external stakeholders, handling communications and ensuring clear, timely follow-ups.
3. Calendar & Travel Management: Organize and maintain the Marketing Director’s calendar, coordinate travel arrangements, and prepare detailed itineraries.
4. Meeting Coordination: Prepare materials and agendas for meetings, take minutes, and follow up on action items to ensure completion.
5. Project Assistance: Assist in managing marketing projects, track deadlines, and provide support in the execution of campaigns or strategic initiatives.
6. Reporting & Presentations: Prepare reports, presentations, and other documents as requested by the Marketing Director.
7. Budget Tracking: Monitor marketing budgets, handle expense reports, and assist in processing invoices.
8. Document Management: Manage filing systems, organize marketing collateral, and ensure proper documentation is maintained.
9. Marketing Team Support: Liaise with the marketing team on behalf of the Marketing Director, providing coordination and logistical support for marketing campaigns, events, or launches.
10. Ad-hoc Tasks: Handle additional tasks as required to support the department and the Director’s work.
Qualifications:
1. Education: Bachelor’s degree preferred in Business Administration, Marketing, Communications, or a related field.
2. Experience: Minimum 5 years of experience in an executive assistant or similar role, preferably supporting senior executives. Experience in marketing or a related field is an advantage.
Skills:
1. Strong organizational and multitasking skills with attention to detail.
2. Excellent verbal and written communication abilities.
3. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and calendar management tools.
4. Ability to handle confidential information with discretion.
5. Problem-solving mindset and a proactive approach to tasks.
6. Ability to work in a fast-paced environment and manage tight deadlines.
