Job Summary:
We are seeking a highly professional and experienced Secretary to support our Managing Director. The ideal candidate will exhibit exceptional organizational skills, professional maturity, and executive presence. This role requires excellent communication skills in both English and Malayalam, as well as the ability to manage multiple tasks with precision and discretion.
Key Responsibilities:
Executive Support:
Provide high-level administrative support to the Managing Director, ensuring smooth and efficient office operations.
Correspondence Tracking:
Manage and track all incoming and outgoing correspondence, ensuring timely and appropriate responses.
Strategic Time and Calendar Management:
Coordinate and manage the Managing Director’s calendar, scheduling meetings, appointments, and travel arrangements. Prioritize and handle time-sensitive requests with a strategic approach.
Meeting Coordination:
Organize and prepare for meetings, including drafting agendas, preparing materials, and recording minutes. Follow up on action items to ensure completion.
Communication:
Serve as the primary point of contact for internal and external communications. Draft, edit, and proofread correspondence, reports, and presentations in both English and Malayalam.Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.Relationship Management: Foster positive relationships with key stakeholders, both internally and externally, representing the Managing Director in a professional manner.
Office Management:
Oversee office operations, including maintaining office supplies, coordinating with vendors, and ensuring a well-organized workspace.
Qualifications:
Bachelor’s degree in Business Administration, Communications, or a related field preferred.Minimum of 3-4 years of experience in a similar role, preferably supporting senior executives.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Strong organizational and multitasking abilities.Exceptional attention to detail and problem-solving skills.Ability to work independently and as part of a team.High level of integrity and professionalism.
