Position: Admin & Facility Associate

Key Responsibilities:

Facility Management:

  • Oversee the upkeep of the site, ensuring high standards of operations, maintenance, and cleanliness.
  • Handle all repair and maintenance activities related to office premises.
  • Manage office inventory, rental, repair, and maintenance of office equipment.
  • Ensure medical room and horticulture requirements are met.
  • Maintain all service records and test certificates.
  • Liaise with building management services and government agencies as required.
  • Manage activities of contractors, vendor personnel, and suppliers.
  • Analyze and recommend solutions for complaints.

General Administration:

  • Organize and supervise the day-to-day operations of the administrative department and staff members.
  • Monitor, develop, review, and improve admin and facilities systems, policies, and procedures.
  • Manage vendor contracts, scrutinize bills/invoices for payments.
  • Communicate the status of all admin and facilities-related matters to the department head.
  • Assist the department head with administrative functions, security issues, and facility services.
  • Coordinate office insurance and compliance-related activities.
  • Coordinate with banking partners for corporate credit card-related matters.

Skills and Qualifications:

  • Proven experience in team management, overseeing admin and front office staff.
  • Strong coordination skills with internal and external stakeholders.
  • Good technical knowledge related to fire systems, electricals, and HVAC.
  • Ability to troubleshoot or make decisions independently until vendor assistance is available.
  • Excellent written and verbal communication skills.
