Job Summary:
As a Travel Desk Executive, you will be responsible for managing all travel-related arrangements for the company’s employees and clients. Your role involves booking flights, accommodations, transportation, and providing detailed itineraries. The ideal candidate will have excellent organizational and communication skills, along with the ability to handle multiple tasks efficiently.
Key Responsibilities:
Travel Arrangements:
Coordinate domestic and international travel bookings, including flights, hotels, car rentals, and other transportation.
Ensure travel arrangements align with the company’s travel policies and budget constraints.
Obtain necessary travel documents such as visas, passports, and travel insurance.
Itinerary Planning:
Create detailed travel itineraries for employees and clients, ensuring all travel plans are well-organized and communicated.
Provide travelers with information on travel regulations, customs, and local laws.
Vendor Management:
Liaise with travel agencies, airlines, hotels, and other service providers to secure the best rates and services.
Build and maintain relationships with travel vendors for future arrangements.
Administrative Support:
Maintain accurate travel records, including invoices, receipts, and travel-related expenses.
Assist in preparing travel-related reports and documents.
Handle travel-related queries and issues promptly and efficiently.
Cost Management:
Monitor travel expenses to ensure adherence to budget.
Seek cost-effective travel options without compromising on quality and safety.
Employee Queries:
Address and resolve any travel-related problems or emergencies.
Qualifications:
Education: Bachelor’s degree in Hospitality, Travel Management, Business Administration, or related field preferred.
Experience: Minimum of 2 years experience in travel coordination or a similar role.
Skills:
Excellent organizational and multitasking abilities.
Strong communication and interpersonal skills.
Proficiency in using travel booking software and Microsoft Office Suite.
Attention to detail and ability to work under pressure.
Key Competencies:
