Job Title: Assistant Manager/Deputy Manager - Admin
Job Purpose
The incumbent supports the overall operational efficiency of the organization by overseeing administrative functions, ensuring smooth office operations, and managing day-to-day administrative tasks. This role involves coordinating with various departments, optimizing processes, and aiding the Manager – Administration. The incumbent will also assist in budgeting, reporting, and implementing policies that align with the company’s objectives, fostering a productive and organized work environment.
Roles and Responsibilities:
- Facility Management: Infrastructure, Maintenance, Housekeeping, Security, Printing & Stationery, Vendor, Asset, Generation of PO, Cafeteria, Pantry services, Electricity, CCTV ,Stationary , AMC.
- Event Management: Plan & execute on and off-site event, Flower arrangements, official party, Ensure and Plan for Festive celebration, office decoration, Lunch or dinner party, Birthday celebration, Training arrangement of staff through vendor.
- Travel Management: Flight ticket, Cab arrangements, accommodation arrangement, arrangements for client visit.
- Day to day admin function e.g. Reception, Repairing, Maintenance of all equipment’s or machines , infrastructure , Printer or photocopier , Phone , Electricity , AC’s , internet issues etc.
- Inventory & stock maintenance: Stationary, housekeeping , pantry.
- Managing stocks and procuring supplies for housekeeping consumables, Pantry consumables, Stationary
- Managing periodic renovations and maintenance of office premises.
- Scrutiny of Administrative related billings and procedures.
- Coordinating transport, security, courier, firefighting in the organization.
- Petty Cash Management, Courier and mail service, Allotment of Office Parking.
- Responsible for Vendor management, Negotiation & Monitoring the Admin function.
- Day to day Office Administration activities.
- Invoice processing related to General Administration, Keep track of all invoice, make sure for the payment on time.
- Sourcing of vendor, negotiation, Finalization, procuring of quality service, products, coordinating with all Vendors for the smooth operation, Timely collection of bills processing and payment of the vendors.
- Physical security, CC TV & Access Control, Gates pass procedure – In & out Inventory Record.
- Overseeing security related activities for safeguarding assets of the organization.
- Mentoring security awareness in the organization.
Qualifications:
- Master’s degree in business administration or related field preferred.
- 6+ years proven experience in an administrative role.
- Proficient in Microsoft Office.
- Strong organizational and communication skills.
- Must be well versed with SAP.
