On behalf of our client, Native Recruit is in search of a Senior Administrative Assistant as part of their growing team in Pune, India.


Objectives

  • Streamline Administrative and Cross-Functional Processes

Ensure efficient handling of administrative and project coordination tasks, providing excellent support to leadership and teams across tech, product, and marketing.

  • Support Workplace Wellbeing Initiatives

Actively contribute to workplace culture by supporting employee wellbeing programs, fostering a positive work environment.

  • Facilitate Cross-Departmental Coordination

Enable smooth collaboration across tech, product, and marketing teams to keep projects on track, ensuring alignment and timely delivery.


Deliverables and Key Responsibilities

  • Product Launch Support : Work with the tech, product, and marketing teams to ensure alignment on launch timelines, resource needs, and marketing strategies.
  • Content and Feature Updates : Coordinate updates on new product features and content, ensuring tech and product teams deliver information on time for marketing promotions.
  • Campaign Alignment : Support the integration of new product releases and marketing campaigns, ensuring all teams are aligned on deadlines and messaging.
  • Feedback Loops : Facilitate regular check-ins to share feedback from marketing on product reception, passing insights back to tech and product teams.
  • Resource Allocation : Track project timelines and coordinate with department heads to ensure the tech, product, and marketing teams have the necessary resources to execute deliverables.


Internal Communication and Office Management

  • Oversee office-related operations (if applicable), including ordering supplies, managing vendor relationships, and maintaining a positive workspace.
  • Act as the go-to for internal communications, helping to circulate updates on project status, product changes, and upcoming events.
  • Support note-taking an organization for senior leadership in meetings.
  • Ensure meeting goals are set before the meeting, and we do not have meeting debt.


Documentation and Knowledge Sharing

  • Maintain organized records and documentation of cross-functional processes, ensuring information was easily accessible to team members.
  • Continuously update documentation on shared workflows between tech, product, and marketing, making it available as a reference for new and existing team members.


Continuous Improvement

  • Gather feedback from tech, product, and marketing teams on the effectiveness of coordination processes and implement improvements as needed.
  • Identify and suggest new tools or process improvements to enhance cross-department collaboration.
  • Leverage AI tools to improve the velocity of project delivery


Administrative and Cross-Functional Project Support

  • Manage schedules, coordinate meetings, and handle travel arrangements for leadership and key stakeholders.
  • Assist with documentation, review, and distribution of internal communications, reports, and
  • presentations for the leadership team.


Workplace and Employee Wellbeing Support

  • Coordinate and assist with the planning, scheduling, and executing of employee wellbeing programs and initiatives that enhance workplace culture.
  • Act as a liaison for well-being resources, keeping employees informed about available programs.


Qualifications

  • Education : Bachelor’s degree in Business Administration, Communications, or related field, or equivalent experience.
  • Experience : 5+ years in administrative support, ideally within a tech, SaaS, or startup environment, with experience coordinating between multiple departments.
  • Technical Skills : Proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools (e.g., Slack, Asana). Familiarity with productivity, project management, and communication tools.
  • Soft Skills : Strong organizational and time-management skills. Excellent communication skills for cross-functional collaboration. Adaptable and proactive, with an eye for identifying process improvements.
