Position Overview:

We are seeking an experienced and detail-oriented Event Setup Manager to oversee the creative and operational aspects of event management. This role requires creativity, decor expertise, scheduling acumen, and the ability to manage multiple stakeholders and teams effectively. The ideal candidate will have a keen eye for design, strong organizational skills, and proven experience in vendor and team coordination to ensure proper execution of events.


Key Responsibilities:

Event Setup and Design:

  • Develop and implement creative design concepts aligned with the event theme.
  • Select and manage color palettes, decor elements, and spatial arrangements to enhance event aesthetics.
  • Ensure the event layout reflects the client’s vision while maintaining functionality and safety.

Vendor and Stakeholder Coordination:

  • Collaborate with vendors for decor, catering, lighting, sound, and other event requirements.
  • Negotiate contracts, monitor vendor performance, and ensure timely delivery of services.
  • Act as the primary point of contact for multiple stakeholders, addressing inquiries and resolving issues promptly.

Team Management and Coordination:

  • Lead cross-functional teams, including decorators, logistics staff, and technical crew, to execute event plans.
  • Assign tasks, oversee timelines, and ensure alignment among all involved teams.
  • Conduct pre-event briefings and post-event evaluations to optimize performance.

Scheduling and Timeline Management:

  • Develop detailed event schedules, incorporating milestones and deadlines.
  • Monitor progress, identify potential delays, and implement solutions to maintain timelines.
  • Coordinate event setup, execution, and teardown with precision.

Creativity and Aesthetic Expertise:

  • Leverage a strong sense of design and decor to curate visually appealing and memorable events.
  • Integrate home decor principles into event settings to create inviting and elegant atmospheres.
  • Adapt design strategies to cater to diverse event types, including corporate, social, and private gatherings.

Budgeting and Resource Management:

  • Manage budgets effectively, ensuring optimal allocation of resources.
  • Track expenses, approve costs, and prepare financial reports as needed.
  • Identify cost-saving opportunities without compromising quality.


Qualifications and Skills:

  • Experience: 2+ years in event management, decor planning, or related fields.
  • Aesthetic Expertise: Proven ability to design and execute creative concepts with attention to detail.
  • Event Management: Strong background in scheduling, stakeholder coordination, and multi-team collaboration.
  • Vendor Management: Experience in negotiating and coordinating with diverse vendors.
  • Technical Proficiency: Familiarity with design tools and event management software is a plus.
