Role Overview

We are looking for a dynamic, smart, and client-focused Front Office & CRM Executive who will be the first point of contact at our clinic and also manage our WhatsApp CRM and Business CRM systems to handle client inquiries, leads, and follow-ups.

This role combines reception management, client service, and digital lead nurturing.

Key Responsibilities

  • Front Desk Management
  • Welcome patients/clients warmly and create a premium first impression.
  • Manage phone calls, walk-in inquiries, and appointment bookings.
  • Maintain a clean, professional, and welcoming reception area.
  • Client Engagement & CRM Handling
  • Use WhatsApp CRM and Business CRM tools to follow up on leads, respond to inquiries, and convert prospects into appointments.
  • Maintain accurate client records and update databases regularly.
  • Send reminders, confirmations, and post-treatment follow-ups via CRM/WhatsApp.
  • Lead Nurturing & Coordination
  • Engage with potential clients through calls, WhatsApp, and emails.
  • Ensure timely follow-up on leads generated from social media, marketing campaigns, and referrals.
  • Work with the sales/doctor team to maximize lead conversions.
  • Administrative Support
  • Manage billing, invoicing, and payment collection at the front desk.
  • Coordinate with clinic staff for smooth client flow.
  • Prepare daily reports on leads, appointments, and walk-ins.

Required Skills & Qualifications

  • Graduate (any discipline).
  • Prior experience as Receptionist / Front Office Executive / Client Relations Executive / Telecaller / CRM Executive (preferably in healthcare, salon, spa, aesthetic, or hospitality industry).
  • Proficiency in WhatsApp Business, CRM software, MS Office, and Google Workspace.
  • Excellent communication (English & local language) and interpersonal skills.
  • Smart personality with good grooming & presentation.
  • Strong organizational and multitasking abilities.
  • Ability to handle clients with patience, empathy, and professionalism.

Job Type: Full-time

Pay: ₹15, ₹18,000.00 per month
