Whatfix is scaling rapidly and seeks a proactive and detail-oriented Facilities & Administration Executive to join our dynamic team in Gurugram.

Key Responsibilities
- Oversee end-to-end facility and administration operations, including security, transport, budgeting, compliance, and process management.
- Ensure a safe, secure, and conducive 24x7 working environment for employees with zero facility downtime.
- Lead and manage a team of administrative staff and third-party service providers.
- Handle travel and logistics management (independently or with support from the broader admin org.)
- Monitor vendor performance to ensure high-quality service delivery within defined timelines; negotiate contracts and manage invoices.
- Manage all facility functions such as office maintenance, housekeeping, transportation, security services, and office build-outs.
- Drive compliance with statutory norms and internal policies; prepare for audits and ensure smooth functioning.
- Develop and implement best practices to improve operational efficiency and cost-effectiveness.
- Maintain confidentiality of all employee and client information.
- Respond to routine inquiries and correspondence in a timely and professional manner.
The Ideal Candidate
- Experience: 4-10 years in facilities and administration management, preferably in a fast-paced startup environment.
- Skills: Strong people management, decision-making, and crisis management skills; experience working with remote teams is a plus.
- Competencies: Highly organized, detail-oriented, and able to independently handle emergencies and day-to-day operations.
- Mindset: Proactive problem solver who thrives in a hyper-growth environment.
- Strong knowledge of local regulations, vendor ecosystems, and statutory compliance specific to the Gurugram region.
- Familiarity with transportation, security, and facility management challenges unique to the NCR area.
- Experience in managing relationships with local vendors and service providers.
