As the Administrative Officer & Accounts Head, you will oversee both the administrative and financial functions within the organization. You will play a key role in ensuring operational efficiency, managing office facilities, coordinating HR processes, and maintaining financial health through sound accounting practices. This position requires exceptional organizational skills, leadership abilities, and a strong understanding of both administrative management and financial principles.
Administrative Duties:
- Oversee daily office operations to ensure smooth functioning of all departments.
- Manage office supplies, equipment, and facilities maintenance.
- Coordinate staff recruitment, onboarding, and training processes.
- Supervise administrative staff and ensure high levels of productivity.
- Organize meetings, events, and travel arrangements for staff and executives.
- Ensure compliance with regulatory requirements and company policies.
- Handle communication across the organization, including correspondence, emails, and phone calls.
- Oversee the preparation of financial statements, reports, and forecasts.
- Supervise daily accounting operations including accounts payable/receivable, general ledger, and bank reconciliations.
- Ensure timely tax filings, payroll processing, and adherence to financial regulations.
- Lead the budgeting process and monitor expenses to ensure financial efficiency.
- Ensure compliance with local, state, and federal tax laws, and manage audits.
- Implement internal controls to prevent financial discrepancies and fraud.
- Analyze financial data and present actionable insights to senior management.
- Manage and guide both administrative and finance teams to ensure efficient and timely task execution.
- Conduct performance evaluations, provide mentorship, and support the professional development of team members.
- Foster a collaborative and positive work environment across all departments.
- Education: Bachelor’s degree in Business Administration, Finance, Accounting, or related field. A Master’s degree or professional certifications (CA, CPA, MBA) preferred.
- Experience: Minimum 5+ years of experience in administrative management and financial oversight, with a proven track record of managing both functions simultaneously.
- Skills:
- Strong knowledge of accounting principles, financial regulations, and tax laws.
- Excellent organizational, multitasking, and time management abilities.
- Experience with accounting software (e.g., QuickBooks, Tally, SAP) and office management tools (e.g., MS Office, Google Workspace).
- Strong leadership and communication skills, with the ability to manage and motivate teams.
