As a Receptionist and Front Desk Executive, you will be the first point of contact for clients, visitors, and employees. Your role is crucial in creating a positive and professional first impression of the company. You will manage front desk operations, handle a range of administrative tasks, and provide exceptional customer service to ensure smooth and efficient office functioning.
Key Responsibilities:
· Front Desk Management:
o Greet and welcome guests, clients, and employees with a friendly and professional demeanor.
o Answer and direct phone calls to the appropriate departments or individuals.
o Manage the reception area, ensuring it is clean, organized, and presentable at all times.
o Handle visitor check-ins, issue visitor badges, and notify staff of their arrival.
· Administrative Support:
o Perform general office duties including managing mail, scheduling meetings, and ordering office supplies.
o Maintain and update office calendars, schedules, and appointments.
o Assist with basic administrative tasks such as data entry, filing, and document preparation.
· Customer Service:
o Provide information about the company’s products, services, and policies to visitors and clients.
o Address and resolve inquiries, complaints, or requests in a courteous and effective manner.
o Ensure a high level of customer satisfaction through proactive communication and problem-solving.
· Coordination and Communication:
o Coordinate with various departments to ensure seamless communication and effective office operations.
o Manage conference room bookings and setup for meetings and events.
o Assist with onboarding new employees and provide orientation to the office environment.
· Security and Safety:
o Monitor and maintain security protocols, including visitor logs and access control.
o Ensure compliance with health and safety regulations and procedures.
Qualifications:
· Education:
o High school diploma or equivalent required; Associate’s or bachelor’s degree in business administration or related field preferred.
· Experience:
o 3-5 years of previous experience in a receptionist or front desk role .
o Experience in a customer-facing or administrative support position is advantageous.
· Skills:
o Excellent verbal and written communication skills.
o Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
o Strong organizational and multitasking abilities.
o Ability to handle sensitive and confidential information with discretion.
o Positive attitude, professional appearance, and strong interpersonal skills.
Work Environment:
· Office setting with standard working hours; may include occasional overtime or extended hours.
· Requires sitting for extended periods and occasional lifting of light office supplies.
