Job Summary:

The Executive Assistant (EA) will provide high-level administrative support to [Executive's Name/Title] and the executive team. This role is pivotal in ensuring smooth operations by managing schedules, communication, and critical tasks, enabling the executive team to focus on strategic initiatives. The ideal candidate is proactive, highly organized, and possesses strong communication skills.

Key Responsibilities:

  • Calendar Management:
  • Manage and maintain the executive’s schedule, including organizing meetings, appointments, and travel arrangements.
  • Coordinate and prioritize daily activities, ensuring optimal use of the executive's time.
  • Communication:
  • Serve as the primary point of contact between the executive and internal/external stakeholders.
  • Draft, review, and manage correspondence, including emails, reports, and presentations.
  • Handle confidential information with discretion.
  • Meeting Coordination:
  • Plan, organize, and prepare materials for meetings, including agendas, presentations, and follow-up notes.
  • Attend meetings to take minutes and track action items as needed.
  • Travel Arrangements:
  • Arrange complex and detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings.
  • Project Support:
  • Assist with the planning and execution of special projects and initiatives.
  • Conduct research, compile data, and prepare reports or presentations as required.
  • Office Management:
  • Oversee the organization and maintenance of the executive office and related administrative functions.
  • Order supplies and manage office equipment as necessary.
  • Financial Administration:
  • Process expense reports, invoices, and budget tracking for the executive team.
  • Assist with the preparation and management of budgets.
  • Relationship Management:
  • Build and maintain strong relationships with internal teams and external partners.
  • Represent the executive in a professional manner in all interactions.

Qualifications:

  • Bachelor’s degree in Business Administration or related field preferred.
  • 2-4 years of experience as an Executive Assistant or in a similar role.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle multiple tasks with a high level of accuracy.
  • Discretion and confidentiality in handling sensitive information.

Preferred Skills:

  • Experience in Biotech / Marketing Industry Would be preferred.
  • Familiarity with project management tools and software.
  • Strong problem-solving skills and ability to anticipate needs.
