Position Title: Senior Executive Assistant

Location: Pondy or Chennai

Reports to: Founder, MD & CEO


Position Overview: The Senior Executive Assistant will play a critical role in supporting the CEO in driving the strategic agenda, optimizing organizational efficiency, and ensuring the smooth execution of key initiatives. This position requires a highly organized, proactive, and strategic thinker who can manage multiple priorities, communicate effectively, and serve as a trusted advisor to the CEO.


Key Responsibilities:


Strategic Support:

  • Assist the CEO in the development and implementation of the company’s strategic initiatives.
  • Analyze data, and provide insights to support decision-making processes.
  • Monitor industry trends and provide recommendations to keep the company competitive.


Operational Efficiency:

  • Streamline internal processes to enhance productivity and efficiency.
  • Coordinate cross-functional projects and ensure alignment with the company’s strategic goals.
  • Manage key initiatives from conception to execution, ensuring timely and successful completion.


Executive Support:

  • Manage the CEO’s calendar.
  • Prepare and organize documents for meetings, presentations, and reports.
  • Act as a liaison between the CEO and other executives and employees.


Communication:

  • Serve as a liaison between the CEO and senior management, ensuring effective communication and collaboration.
  • Prepare presentations, reports, and other documentation for internal and external stakeholders.
  • Draft and review communications on behalf of the CEO.


Meeting Management:

  • Organize and manage executive meetings, including agenda setting, minute taking, and follow-up on action items.
  • Attend meetings and prepare the minutes and summaries and track the key points / milestones till completion. If required escalate to MD.
  • Ensure the CEO is well-prepared for meetings, presentations, and other engagements.
  • Analyzing time management, decision tracker and discussions for further improvement with MD.

Project Management:

  • Lead and manage special projects as directed by the CEO.
  • Track progress, identify potential risks, and implement mitigation strategies.
  • Assist MD in Key strategic initiatives and tracking and monitoring to be done.
  • Ensure projects are delivered on time, within scope, and within budget.

Reports and Dashboards:

  • Prepare Business reports and analyze information pertaining to data and present the reports including key insights.
  • Preparing weekly, monthly, or quarterly reports​​ and Dashboards with Key insights

Corporate & Special Projects:

  • Measure What Matters & Lead Indicators – Tracking and Monitoring.
  • Driving priority for Automation, Digitalization, Analytics, Cost-reduction avenues & transformation projects
  • Implementation of Strategies & Best practices to group companies
  • Contributor for all MD Special Projects & CSR Activities.

Relationship Building:

  • Build and maintain strong relationships with internal stakeholders.
  • Represent the CEO in meetings as needed.
  • Facilitate collaboration across departments to achieve organizational goals.


Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field (MBA preferred).
  • Minimum of 15 years of experience in a senior management role with executive support responsibilities.
  • Proven experience in a similar role, preferably within the technology or publishing industry.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Ability to think strategically and provide innovative solutions.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office and other office productivity tools
  • Self-driven, effective time management, highly organized, critical thinker who is also calm under pressure and can multi-task.
