The Role
The focus for the Personal Assistant job role will be to provide immaculate administrative and secretarial support to the Chairman of SATS India. The incumbent will be responsible to manage multiple complex calendars and have a good understanding of business functions to assist the Directors and Chairman in prioritising their tasks and appointments. The role holder will need to schedule and prepare for meetings, as well as coordinate travel arrangements for the team. You will be required to provide coverage for other executive assistants/receptionists as and when required. Other general administrative support, such as answering calls, sorting mail, handling paperwork, and maintaining databases, will also fall under your care.
Key responsibilities
· Provide a full range of office secretarial & admin support to the Chairman and his team.
· Handle inbound calls, inquiries & manage meeting rooms.
· Handle travel arrangements, expense claims, and coordinate meetings/ facilities bookings.
· Assist in office supplies & equipment maintenance.
· Assist in miscellaneous admin functions and ad-hoc research assignments.
· Maintaining internal systems on real-time basis.
· Handle confidential information in a professional and discreet manner. Ensure that various administrative tasks are done in an effective and efficient manner, including copying, reviewing outside mail, drafting correspondence, screening phone calls when requested, and maintaining executive files as needed.
· Act as the Chairman’s representative and ambassador to external constituents as directed.
· Process and maintain duty travel expenses for the Chairman.
JOB REQUIREMENTS
· 5-8 years of proven experience as a personal assistant or other relevant administrative support experience.
· Bachelor's degree is a must
· Experience in handling office admin activities is a must.
· Understanding of MS Office suite.
· Ability to organise a daily workload by priorities.
· Must be able to meet deadlines in a fast-paced, quickly changing environment.
· A proactive approach to problem-solving with strong decision-making skills.
· Professional level verbal and written communications skills.
