Executive Assistant

Are you a highly organized and detail-oriented individual with a passion for supporting high-level executives?
Sketchli, a leading provider of technology design and development services in Australia, is seeking an exceptional Executive Assistant to join our vibrant team and directly support our Managing Director. In this role, you will play a pivotal role in ensuring the smooth day-to-day operations of the Managing Director's office and contribute to the overall success of Sketchli.
The ideal candidate will provide top-level assistance for high-level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities:
Schedule Management:
- Proactively manage the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prioritize tasks and effectively manage time to ensure the Managing Director remains productive and on track.
- Liaise with internal and external stakeholders to manage meeting logistics and ensure clear communication.
Client Follow-up:
- Build and maintain positive relationships with key clients through proactive communication and follow-up.
- Manage client inquiries and requests in a timely and efficient manner.
- Prepare briefing materials and talking points for client meetings.
Meeting Support:
- Attend meetings with the Managing Director, take accurate minutes, and distribute action items to relevant parties.
- Follow up on meeting action items and ensure timely completion.
- Prepare presentations and other materials for meetings as needed.
Content Creation:
- Contribute to the Sketchli blog by writing engaging and informative articles related to the animation industry, software updates, and company news.
- Conduct research and fact-checking to ensure content accuracy and quality.
- Collaborate with the marketing team to promote blog content across various channels.
Administrative Tasks:
- Manage the Managing Director's inbox and prioritize incoming emails and requests.
- Prepare travel itineraries and manage expense reports.
- Order office supplies and maintain an organized and efficient work environment.
- Perform other administrative tasks as assigned.
Project support:
- Coordinate and manage light project tasks, working with internal teams to ensure deadlines are met.
- Maintain awareness of industry trends and company initiatives to anticipate needs and proactively provide support.
Qualifications
- Bachelor's degree or equivalent experience
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Excellent communication and interpersonal skills, both written and verbal.
- Proficient in Atlassian suite of software tools.
- Ability to work independently and as part of a team.
- Highly motivated, proactive, and adaptable with a strong work ethic.
- Discretion and confidentiality are essential.
- Bonus points for experience in the design or tech industry.
