Hours: Full Time; 50 hours per week (one-off weekly).
Job Overview:
As an Operations and Admin Executive specializing in the trading of hospitality packing and disposal materials, you will play a key role in ensuring efficient daily operations and streamlined administrative processes. You will work closely with the sales and supply chain teams to optimize workflow, maintain accurate inventory, and ensure timely order fulfillment from a warehouse and store perspective. Additionally, your role involves managing office administration, coordinating with vendors, and supporting the planning and execution of various company initiatives.
Key Responsibilities:
- Oversee daily operational activities to maintain smooth workflow across departments.
- Take ownership of warehouse management, including liaising with relevant stakeholders.
- Coordinate with supply chain and logistics teams to ensure timely and accurate order fulfillment.
- Maintain accurate records for inventory, procurement, and sales orders, ensuring data integrity.
- Build and manage vendor relationships, negotiating pricing to support cost-effective operations.
- Assist in conducting quality audits of procured products in collaboration with the quality control team.
- Perform administrative tasks such as office management, document filing, and correspondence handling.
- Support finance by managing daily transactions and data entries in accounting systems.
- Organize and assist with company initiatives, including training sessions and team-building activities.
- Ensure compliance of all operational processes with company policies, procedures, and industry standards.
- Generate and present regular operational reports to senior management for informed decision-making.
- Coordinate with quality control teams to maintain consistent product standards.
- Schedule and facilitate biweekly operations meetings and monthly/quarterly review meetings with manufacturers.
- Collaborate with the sales team to align operational objectives with customer needs and business goals.
- Conduct market research to identify trends and recommend process improvements.
- Participate in quarterly mandated learning sessions to advance domain expertise and administrative skills.
- Work with sales and logistics teams to ensure timely delivery of consignments.
- Support management with ad hoc tasks and special projects as needed.
Qualifications:
Education and Experience:
- Bachelor’s degree in business administration, operations management, or a related field.
- Strong understanding of F&B operations, cost control, and inventory management.
- 1 to 4 years of experience in a similar role, preferably in the hospitality or packaging industry.
- Knowledge of warehouse management and operational processes.
Skills and Abilities:
- Strong numerical and analytical skills with keen attention to detail.
- Proficiency with financial software and hotel property management systems.
- Excellent communication and interpersonal skills for effective collaboration across departments.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Adaptable and experienced in inventory management and warehousing.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Physical Requirements:
- Ability to stand, walk, and move around office and storage areas for extended periods.
- Able to lift and carry moderate weights, such as inventory items.
Working Conditions:
- Primarily office-based with occasional visits to storage or F&B locations.
- Frequent interaction with F&B, finance, external logistics and other departments to ensure cohesive operations.
Other Requirements:
- Availability to work during Saturday.
- Maintain a professional appearance and decorum at all times.
- Flexibility to travel to other locations for operational audits
- Language - Fluency in English, Hindi and Tamil are preferred.
