About the Role: We’re looking for a highly organized and proactive Virtual Assistant to help manage daily business operations, coordinate with clients, and keep workflows running smoothly. The ideal candidate is detail-oriented, fluent in English (spoken and written), and experienced in using modern business tools such as CRMs, Google Workspace, and calendar management systems. Key Responsibilities: Workflow & Task Management Maintain and organize daily business operations. Track project progress, deadlines, and deliverables. Coordinate between teams or vendors as needed. Client Communication & Support Handle basic client inquiries via email or chat in a professional manner. Schedule and confirm client meetings or calls. Maintain a positive and responsive client experience. Calendar & Scheduling Manage calendars for the leadership team. Schedule meetings, appointments, and reminders across time zones. Proactively anticipate scheduling conflicts and resolve them. Documentation & Data Handling Maintain organized records in CRMs and shared drives. Prepare summaries, follow-up notes, and task lists after client meetings. Assist with light research or data entry tasks when required. Required Skills & Qualifications: Excellent command of English — both verbal and written. Strong organizational and time-management skills. Proficiency with tools such as: Google Suite (Docs, Sheets, Calendar, Drive) CRMs (HubSpot, Zoho, or similar) Communication platforms (Slack, Zoom, WhatsApp Business, etc.) Ability to manage multiple tasks and clients simultaneously. High attention to detail and professional communication etiquette. Comfortable working independently with minimal supervision. Preferred Qualifications: Prior experience as a Virtual Assistant , Operations Coordinator , or Client Success Assistant . Familiarity with productivity tools such as Notion, Trello, or Asana. Experience in managing client communications across multiple time zones.
