About the Role

We are looking for a proactive and detail-oriented Third-Party Subcontracting Specialist to support our subcontracting process, with a key focus on managing external vendor relationships, shortlisting suitable candidates, and onboarding them into our internal systems, including SAP Fieldglass.

This role is critical in ensuring we efficiently engage qualified third-party professionals, while maintaining compliance with firm policies and supporting internal stakeholders — including senior Partners and Directors — with high responsiveness and professionalism.

Key Responsibilities

  • Shortlist Vendor Profiles: Review and evaluate candidate profiles submitted by external vendors to ensure alignment with project requirements and quality standards.
  • Onboarding in Fieldglass: Manage the end-to-end onboarding process for subcontractors using SAP Fieldglass. Ensure timely setup, documentation, and system accuracy.
  • Stakeholder Management: Work closely with senior-level stakeholders (Partners, Directors, and Engagement Managers) to understand resource needs, timelines, and project fit.
  • Vendor Coordination: Serve as a key point of contact for third-party vendors regarding candidate submissions, clarifications, and follow-ups.
  • Compliance & Documentation: Ensure all documentation is complete and compliant with internal policies, legal, and data protection regulations.
  • Process Ownership: Manage the full subcontracting lifecycle – from requisition to onboarding, contract compliance, and performance feedback.
  • System and Reporting: Track, update, and maintain accurate records within Fieldglass and other internal systems. Generate reports as needed.
  • Continuous Communication: Maintain clear, professional, and timely communication with all stakeholders to ensure a seamless process.

Required Qualifications & Experience

  • Bachelor's degree in Business, HR, Supply Chain, or a related field.
  • 3–5 years of experience in subcontracting, staffing coordination, or vendor management – preferably in a professional services or consulting environment.
  • Experience using SAP Fieldglass (or similar VMS tools) for onboarding and vendor management is strongly preferred.
  • Proven ability to handle high-level internal stakeholders with confidence, clarity, and professionalism.
  • Strong verbal and written communication skills with the ability to build relationships across all levels.
  • Highly organized, responsive, and capable of working independently in a deadline-driven environment.
  • Strong understanding of third-party risk management, compliance, and contracting processes.

Preferred Skills & Certifications

  • Previous experience working in or with a Big 4 firm or similar global professional services organization.
  • Familiarity with legal contracting processes and talent acquisition tools.
  • Certifications in contract management, procurement, or staffing tools (e.g., Fieldglass, CIPS, IACCM) are a plus.
