Job Summary

We are seeking a highly organized and proactive Production & Sample Coordinator to oversee end-to-end sample development, production follow-up, and shoot preparation. This role involves close coordination with designers, printers, suppliers, and the production team to ensure timely and high-quality output for both internal requirements and website launches.

Key ResponsibilitiesSample & Fabric Management

  • Coordinate and track sample development timelines.
  • Manage fabric ordering and maintain accurate records of fabric orders.
  • Oversee trims procurement and ensure all components are ready for sample production.
  • Maintain and update all sample and fabric tracking sheets.

Printing & Design Coordination

  • Liaise with printing designers for design handovers and approvals.
  • Visit printing units to explain design concepts, color specifications, and quality expectations.
  • Ensure design accuracy and consistency during printing.

Production Planning & Follow-up

  • Prepare sample production programs and share timelines with relevant teams.
  • Monitor production progress and ensure adherence to deadlines.
  • Plan samples to be completed 3–4 days prior to scheduled shoots.

Shoot Preparation & Post-Shoot Tasks

  • Ensure all samples are ready and in perfect condition before shoots.
  • Coordinate shoot logistics, including sample dispatch and retrieval.
  • After shoots, collect MRPs, send items back, and archive product information.
  • Create product descriptions for the website.

Data & Website Management

  • Rename and organize shoot folders for easy retrieval.
  • Upload and publish product photos to the website.
  • Check and approve product images for quality control.
  • Maintain product-related data for online listings.

Quality Control

  • Inspect samples and final products to ensure they meet quality standards.
  • Coordinate with relevant teams for corrections if required.

Required Skills & Qualifications

  • Strong organizational and time management skills.
  • Attention to detail and a good eye for color, design, and quality.
  • Proficiency in Microsoft Excel/Google Sheets for tracking and reporting.
  • Ability to coordinate across multiple teams and vendors.
  • Experience in production, fashion coordination, or garment manufacturing preferred.
  • Basic knowledge of e-commerce product uploading and description writing.
