We have an exciting opportunity for you to join our team as Senior Associate. Reporting to the Manager, this full-time and permanent position is based in Mumbai, India and offers regional coverage, allowing you to make a significant impact to our Cosec and its growth.

Key responsibilities:

  • Support the review of preliminary client instructions and client due diligence requirements
  • Assist in developing and executing client implementation/transition plans
  • Work with Global Onboarding team to coordinate know Your Client (KYC) requirements across different locations
  • Support the setup of client entities in internal systems and databases
  • Assist in preparing client documentation and service agreements
  • Preparing first draft of documents with the use of predefined country specific templates, such as preparing of Board/ shareholder meeting minutes/ Country Specific resolutions as per requirement, Power of Attorney etc.
  • Entity data maintenance by incorporating the details of the company, directors, share capital etc. pursuant to request for changes and updates from onsite teams.
  • Coordination with the stakeholders for collation of data related to entity compliances and preparation of first draft client annual compliance calendar for approval and sign off from onsite team and assisting the line manager for updating the data in format prescribed as and when required.
  • Maintaining and preparing the entity health check data viz. Entity specific information of incorporation, Directors information/KYC, Share capital etc.
  • Assisting in the creation of the Service orders and invoices specific to services.
  • Preparation of Engagement letter agreement with clients / relevant stakeholders mentioning the scope of work.
  • Filling in data from templates into a Data Management Software (DMS) and creating / updating data in the software.
  • Working on ad hoc activities as requested by onsite team/Manager.

Service Delivery & Operations

  • Help manage relationships with Vistra local offices and service providers
  • Support the coordination of service delivery across multiple jurisdictions
  • Assist in monitoring and tracking implementation progress and deadlines
  • Help prepare handover documentation for business-as-usual teams
  • Support the maintenance of client records and documentation

Client Communication & Relationship Building

  • Assist in regular client communications and updates
  • Help coordinate internal stakeholder communications
  • Support the preparation of client meetings and presentations
  • Help maintain clear documentation of client requirements and preferences

Key requirements:

  • Basic understanding of corporate governance and company secretarial matters
  • Good attention to detail and ability to follow compliance procedures
  • Strong organisational and project coordination skills
  • Proficient in Microsoft Office applications like word, excel etc.
  • Ability to learn and adapt to new systems and processes
  • Good communication skills, both written and verbal
  • Strong customer service orientation
  • Good team player with ability to work across different cultures
  • Ability to manage multiple priorities and meet deadlines
  • Keen interest in developing client relationship

Relevant Experience:

  • B.Com/L.L.B. with Company Secretarial experience or Semi Qualified CS with 1-2 years of experience, preferably from client service providing background or a candidate with working experience in BPO/KPO.
  • A good working knowledge of governance and company secretarial matters.
  • Having worked in a global services environment and/or a client facing role.
