Job Profile: Front Office Executive
The Front Office Executive serves as the first point of contact for visitors, clients, and employees. The role involves managing reception operations, handling calls and correspondence, and ensuring smooth front-desk functioning while maintaining a professional and welcoming environment.
Key Responsibilities
- Greet and welcome visitors, directing them to the appropriate person/department.
- Manage incoming and outgoing calls, emails, and courier services.
- Maintain the reception area, ensuring it is tidy and presentable at all times.
- Handle visitor logs, issue visitor passes, and maintain security protocols.
- Coordinate with internal departments for administrative and facility support.
- Assist in scheduling meetings, appointments, and conference room bookings.
- Manage incoming/outgoing correspondence (letters, couriers, parcels, etc.).
- Support HR/Administration in day-to-day office management tasks.
- Provide information and assistance to clients, guests, and employees in a professional manner.
Required Skills & Competencies
- Pleasant personality with excellent communication skills (verbal & written).
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, Outlook) and office equipment (phones, printers, scanners).
- Good customer service orientation and interpersonal skills.
- Ability to handle pressure, prioritize tasks, and maintain confidentiality.
- Professional grooming and etiquette.
Educational & Professional Qualifications
- Bachelor's degree / Diploma in any discipline (Hospitality/Administration preferred).
- 1–3 years of experience in front office, reception, or customer service role.
- Fluency in English and Malayalam.
