Role Description

  1. Co-ordinating between various project sites and arranging travel (domestic and overseas)
  2. Supervising housekeeping activities in the organization.
  3. Ensuring availability of stationary, ID cards, Visiting card, printing requirements & other stationery materials.
  4. Overseeing the office assistants and getting the work done and ensuring the office upkeep.
  5. Guest Management, Ordering food.
  6. Direct visitors to the appropriate person and office
  7. Answer, screen and forward incoming phone call
  8. Ensure Office premises is tidy and presentable, with all necessary stationery and material.
  9. Provide basic and accurate information in-person and via phone/email
  10. Maintain office by following safety procedures and controlling access via the reception desk (monitor logbook)
  11. Order front office & pantry supplies and keep inventory of stock
  12. Update calendars and schedule meetings
  13. Arrange travel and accommodations, and prepare vouchers
  14. Keep updated records of office expenses and costs
  15. Perform other clerical receptionist duties such as filing, photocopying.
  16. Supporting HR activities. ( guest House details)
  17. Maintaining data of usages of various systems, bills, AMC monitoring, vendors, follow-ups.
  18. Maintaining appointment schedules for Managers
  19. Organising the events.
  20. Guest House Management.
  21. Co-Ordinating during Executive & Annual Meet, helping to get the things done.
  22. Vendor management (office admin vendors like Plumbers, carpenters, cleaners, electrician)
  23. Maintaining logs of all the official vendor visit related to HR for bill generation
  24. Excel
  25. Visitor Management

Office Timings – 8:30AM to 6PM

Working Days – 6 days (3
rd
Saturday off)

Qualifications

  • Excellent organizational and multitasking abilities
  • Good communication and interpersonal skills
  • Bachelor's degree in human resources, Business Administration, or related field
  • Experience in the engineering or manufacturing industry is a plus
