Overview:

The Relationship Manager is responsible for managing and fostering positive relationships with parents, prospective students, and school staff. This role involves handling inquiries, addressing concerns, coordinating school-related processes, and ensuring smooth communication between the administration, parents, and the school. The Relationship Manager plays a crucial part in maintaining the school's reputation, providing excellent customer service, and supporting student retention and growth.

Key Responsibilities:

  1. Arrival and Dispersal Monitoring:

  2. Ensure smooth operations during student arrival and dispersal times.

  3. Monitor and track attendance for parents/guardians during these times.

  4. Communication and Follow-up:

  5. Handle a significant volume of calls, including:

  6. IVRS calls (record and follow up as needed).
  7. Fee-related calls, addressing queries regarding payments and deadlines.
  8. Calls to parents for general updates, feedback, or follow-ups.
  9. Calls made in response to negative reviews or concerns raised by parents.

  10. Calls made to parents regarding document submission and new admissions.

  11. Counseling and Parent Engagement:

  12. Provide counseling to parents as needed to address their concerns and guide them in the admission process.

  13. Facilitate meetings with the Principal for parents who require direct interaction.

  14. Document and track feedback from parents to ensure all concerns are addressed.

  15. Walk-in Visitors and Enquiries:

  16. Manage walk-in visitors for the day, ensuring proper registration and follow-up.

  17. Handle inquiries from direct walk-ins, website inquiries, and lead-generated prospects.

  18. Provide information and schedule campus tours for interested parents.

  19. Admissions and Follow-Up:

  20. Handle calls and follow-ups with parents regarding new admissions and required documents.

  21. Track and update the status of pending admissions.
  22. Ensure timely closure of admissions, including documentation and payments.

  23. Coordinate with parents to schedule follow-up calls and meetings for interested admissions.

  24. Concern Management:

  25. Receive and address any concerns raised by parents or visitors.

  26. Forward concerns to the Admin Manager as needed for resolution.

  27. Track the status of unresolved or open concerns, ensuring timely follow-up.

  28. Data and Reporting:

  29. Compile daily reports detailing the number of calls, walk-ins, inquiries, concerns, and counseling sessions.

  30. Maintain accurate records of all administrative processes and parent communications.
  31. Provide regular updates on pending calls and unresolved issues.
  32. Track and close overdue tasks or follow-ups, including overdue walk-ins, overdue meetings, and overdue calls.
