Purchase Executive

1. Job Description

We are looking for a highly motivated and technically skilled Purchase Executive Technical to manage procurement activities across our engineering, contracting, and manufacturing operations. This role is critical in ensuring the smooth and uninterrupted flow of materials for projects and production, by acting as a bridge between the shop floor/engineering section and the vendor network.

Key Responsibilities:

• Requirement Capturing & Demand Fulfillment:

• Actively coordinate with shop floor teams, engineering/design sections, and project managers to understand their material requirements accurately.

• Translate these requirements into actionable purchase inquiries and resolve demands at the earliest to avoid production delays.

• Prioritize urgent purchase requests and ensure timely delivery to the site or factory.

• End-to-End Procurement Management:

• Identify, evaluate, and qualify suppliers for engineering and electrical materials, ensuring technical and quality compliance.

• Float RFQs, compare technical and commercial offers, prepare negotiation and approval sheets, and finalize purchase orders.

• Negotiate prices, payment terms, and delivery schedules to secure cost-effective procurement.

• Technical & Project Coordination:

• Review and interpret BOMs, engineering drawings, and specifications to ensure the right material is purchased the first time.

• Collaborate with internal teams to maintain seamless material availability for ongoing projects.

• Vendor Management & Development:

• Develop and maintain a strong vendor base with multiple sourcing options for critical items.

• Conduct regular vendor evaluations for quality, pricing, and reliability.

• Visit vendor premises as necessary for inspections, follow-ups, or quality checks.

• Compliance & Documentation:

• Prepare and maintain accurate purchase orders, GRNs, and vendor payment records.

• Ensure all purchases comply with company policies, budgets, and approval procedures.

• System & Reporting:

• Experience in Tally ERP / Tally Prime for purchase order creation, GRN entry, and tracking vendor accounts.

• Generate MIS reports on purchase status, cost savings, and pending deliveries for management review.
• Coordinate closely with accounts for inventory levels and payment reconciliation.

2. Candidate Profile

We are seeking a technically strong and result-oriented individual who can respond quickly to shop-floor and project needs while maintaining cost control and vendor efficiency.

• Education:

• Diploma/Degree in Electrical, Mechanical, Production, or Industrial Engineering preferred.

• Technical Background:

• Prior experience in technical procurement from engineering, electrical EPC, contracting, or manufacturing industry is essential.

• Knowledge of materials used in electrical EPC projects (cables, conductors, switchgear, transformers, hardware, fabrication components) is highly desirable.

• Should have the ability to quickly search, identify, and procure requirements given by shop floor/engineering sections to minimize downtime.

• Software Skills:

• Mandatory: working knowledge of Tally ERP / Tally Prime (PO, GRN, vendor ledger management).

• Skilled in MS Excel (comparative statements, pivot tables) and comfortable with ERP/MIS tools.

• Soft Skills:

• Excellent communication and negotiation skills with strong vendor handling ability.

• Problem-solving mindset, proactive in fulfilling urgent requirements.
• Highly organized, self-motivated, with the ability to handle multiple projects under pressure.

3. Experience

• Required: 34 years of hands-on experience in technical procurement/purchase.
• Preferred: Experience from engineering contracting companies, electrical EPC contractors, or manufacturing plants.
