• Location: Mumbai, India (US Working Hours)

• Reports To: SVP Global Supply Chain & Logistics

About the Role

We're looking for a highly organized and detail-oriented Logistics & Operations Manager to support our global supply chain & logistics team. This individual will play a critical role in managing logistics, scheduling deliveries, coordinating freight bookings, maintaining accurate budget & spend accounts as well as communication with clients and vendors across multiple time zones.

You'll work closely with internal teams, global freight partners, and clients to ensure that shipments, deliveries, and project deliverables run smoothly and efficiently. This is a dynamic role suited for someone who thrives in a fast-paced, global environment and enjoys balancing operational precision with clear communication.

Key Responsibilities

● Logistics & Freight Management

• ○ Manage international and domestic freight bookings, coordinating with forwarders, carriers, and warehouses to ensure on-time, cost-efficient delivery.
• ○ Track all shipments (ocean, air, and domestic) from origin to destination, maintaining container visibility and accurate documentation.
• ○ Support quoting and cost modeling for freight and logistics during the pre-project and active project phases.
• ○ Monitor freight budgets, track actual spend, and report variances with recommendations for optimization.
• ○ Stay current with U.S. port operations, customs processes, and import/export documentation requirements.

● Project Scheduling & Installation Coordination

• ○ Align delivery and installation schedules in coordination with U.S. project managers, vendors, clients and installation partners.
• ○ Maintain and update project dashboards (Smartsheet or equivalent) with logistics milestones and delivery progress.
• ○ Anticipate and communicate potential delays or constraints, proposing corrective action to leadership.
• ○ Support vendor coordination to ensure material readiness, timely site delivery, and smooth installation execution.

● Client Communication & Support

• ○ Serve as a professional and reliable liaison between clients, vendors, and internal teams. ○ Draft and manage client-facing communication related to delivery schedules, freight status, and installation timelines.
• ○ Schedule and coordinate client calls or status reviews; summarize key takeaways and action items.
• ○ Ensure all communication reflects accuracy, accountability, and timely responsiveness.

● Administrative Oversight & Data Reporting

• ○ Maintain accurate records of shipments, invoices, and supporting documentation (BOLs, packing lists, import paperwork, etc.).
• ○ Prepare weekly operational and financial summaries for U.S. leadership, highlighting key metrics, risks, and updates.
• ○ Reconcile freight invoices against POs and budgets; identify discrepancies and recommend corrections.
• ○ Support reporting and dashboard development for project tracking and performance visibility.

● Cost Analysis & Continuous Improvement

• ○ Track freight costs, lead times, and vendor performance to identify improvement opportunities.
• ○ Provide data-driven insights on logistics efficiency, spend, and carrier performance.
• ○ Support initiatives that drive consistency, transparency, and process improvement in global operations.

Qualifications

● Bachelor's degree in Logistics, Supply Chain, International Business, or related field.

● 5+ years of logistics or operations experience in a global or cross-border environment.

● Strong understanding of U.S. ports, freight networks, and import/export processes.

● Excellent written and spoken English; able to communicate professionally with clients and executive leadership.

● Proficiency with Excel, Smartsheet, ERP systems (NetSuite experience preferred) & TMS systems.

● Strong organizational skills, attention to detail, and ability to manage priorities across time zones.
