Job SummaryThe Vendor Help Desk role is responsible for receiving and resolving daily inquiries from vendors and internal employees regarding a variety of topics, including payment status, statement of ledger, and invoice correction
Key ResponsibiliesInquiry Handling: Respond to vendor inquiries via various channels (vendor-portal, email, phone etc.) regarding invoice status, payment details, and other vendor-related issues
Problem Solving: Investigate and resolve issues related to invoices, payments, processing of purchase orders and and other vendor support activities
Documentation and Tracking: Maintain accurate records of inquiries, resolutions, and follow-up actions
Communication: Communicate effectively with vendors and internal stakeholders to provide updates, clarification, and resolution of issues
Collaboration: Collaborate with other departments, such as accounts payable, business team, procurement team to resolve issues
Process Improvement: Identify and recommend improvements to vendor support processes and procedures
Skills and QualificationsStrong Communication Skills: Excellent verbal and written communication skills to effectively interact with vendors and internal staff
Problem-Solving Skills: Ability to analyze issues, identify root causes, and develop effective solutions
Analytical Skills: Ability to interpret data, identify trends, and provide insights related to vendor issues
Customer Service Skills: Patience, empathy, and a strong commitment to providing excellent customer service
Computer Skills: Proficiency in using computer software, such as ERP systems(SAP) and email, to manage vendor inquiries and track progress
Familiarity with Vendor Management Processes: Understanding of vendor onboarding, contract management, and payment processing
