Key Responsibilities

  • Schedule and Calendar Management: Manage the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Communication Hub: Serve as the primary point of contact, handling incoming calls, emails, and correspondence, and relaying messages as needed.
  • Meeting and Event Coordination: Coordinate and prepare for meetings by creating agendas, taking minutes, and ensuring follow-up on action items. This also includes managing logistics for conferences and events.
  • Document and Presentation Preparation: Draft and edit correspondence, reports, and presentations on behalf of the MD.
  • Project and Administrative Support: Assist with special projects, conduct research, and provide general administrative support, such as managing files and office supplies.
  • Confidentiality and Discretion: Handle sensitive and confidential information with the utmost integrity and discretion.

Required Skills and Qualifications

  • Experience: Proven experience as an Executive Assistant or in a similar administrative role.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Communication: Excellent verbal and written communication skills.
  • Organizational Skills: Strong time management, organizational, and multitasking abilities.
  • Interpersonal Skills: Professional demeanor, diplomacy, and the ability to build rapport with various stakeholders.
  • Discretion: Ability to handle confidential information with integrity and discretion.
  • Problem-Solving: Strong problem-solving skills and the ability to work independently and under pressure.
