Job Description
As a Front Office Executive at Reachvel, you will be the face of the company, responsible for providing excellent customer service and maintaining an organized, efficient, and welcoming front office environment at one of our facilities. Your professionalism and communication skills will be essential in creating a positive and lasting impression on clients and visitors.
Roles and Responsibilities
  1. Reception: Greet and welcome visitors with a warm and professional demeanor, providing information, assistance, and guidance as needed.
  2. Phone Management: Answer and screen incoming calls, directing them to the appropriate person or department.
  3. Visitor Management: Register visitors, issue visitor badges, and inform relevant employees of guest arrivals.
  4. Mail and Package Handling: Receive, sort, and distribute mail and packages. Manage outgoing mail and courier services.
  5. Appointment Scheduling: Schedule and manage appointments for internal meetings and conferences.
  6. Administrative Support: Assist with general administrative tasks, such as data entry, document management, and maintaining office supplies.
  7. Safety and Security: Monitor security and access control, ensuring the safety of employees and property.
  8. Customer Service: Provide exceptional customer service to clients, employees, and visitors, addressing inquiries and concerns in a professional and friendly manner.
  9. Travel Coordination: Assist with travel arrangements for employees and guests, including booking flights and accommodations.
  10. Meeting Room Management: Coordinate and schedule meeting rooms, ensuring they are well-prepared and equipped for meetings and presentations.
  11. Record Keeping: Maintain accurate records of visitor logs, incoming and outgoing mail, and appointments.
  12. Maintain a Professional Appearance: Ensure the front office area is tidy, organized, and presentable at all times.

Required Qualifications
  1. High school diploma or equivalent; additional education or certification in office administration is a plus.
  2. Proven experience as a Front Office Executive, Receptionist, or similar role, with a strong track record in providing excellent customer service.
  3. Exceptional interpersonal and communication skills, with a professional and friendly demeanor.
  4. Strong organizational skills, with the ability to multitask and manage various responsibilities simultaneously.
  5. Proficiency in using office equipment, such as multi-line phone systems and computers.
  6. Customer service orientation and a proactive attitude in assisting clients and visitors.
  7. Attention to detail and a commitment to maintaining a professional and welcoming office environment.
  8. Ability to handle sensitive information and maintain confidentiality.
  9. Problem-solving skills and the ability to handle unexpected situations with grace and composure.
  10. Knowledge of basic office software (e.g., Microsoft Office Suite).
