Location: Jaipur – Jagatpura

Reporting To: Director / Founder

Role Purpose

The Office Manager will be responsible for ensuring smooth day-to-day operations at Artivo by managing office administration, basic accounts, material purchases, vendor coordination, and documentation. This role requires someone who takes complete ownership, works proactively, and supports project execution efficiently.

Key Responsibilities

  • Office & Administration

Manage daily office operations and upkeep

Maintain documentation, files, contracts, and project records

Coordinate with site teams for requirements and logistics

Handle employee attendance, leaves, and basic HR coordination

  • Basic Accounts

Maintain petty cash and daily expense records

Handle invoicing, billing follow-ups, and payment reminders

Support accountant with data entry and monthly reconciliations

Prepare purchase orders and maintain expense sheets

  • Purchases & Material Management

Identify material requirements from site/project teams

Source materials from vendors at best pricing and quality

Prepare purchase orders and track deliveries

Maintain stock records and consumption reports

  • Vendor Management

Build and maintain strong relationships with suppliers and contractors

Negotiate pricing, timelines, and credit terms

Ensure timely payments and documentation

Evaluate vendor performance regularly

  • Ownership & Coordination

Take full responsibility for tasks without follow-ups

Anticipate needs and solve problems proactively

Support management in planning and execution

Act as a reliable point of contact between office and site teams

Skills Required

  • Strong ownership mindset
  • Excellent communication & coordination skills
  • Basic accounting knowledge (Excel, tally entry preferred)
  • Negotiation & vendor handling skills
  • Organized, reliable, and disciplined

Ability to multitask and work independently.

Qualifications

Graduate (Commerce preferred)

2–5 years experience in office administration / accounts / procurement

Construction or interiors industry experience is a plus
