Executive Assistant to Managing Director
Job Summary:
We are seeking a highly organized, proactive, and professional Executive Assistant to support the Managing Director (MD). The ideal candidate will act as the right hand to the MD, managing a wide range of administrative and executive support tasks, ensuring efficient operation of the executive office and seamless coordination across departments.
Key Responsibilities:
Administrative Support:
- Manage the MD's calendar, schedule meetings, appointments, and travel arrangements.
- Screen and prioritize emails, phone calls, and correspondence.
- Prepare and edit reports, presentations, and other documents.
- Maintain confidential files and records.
Meeting Coordination:
- Organize internal and external meetings, including board meetings and senior leadership meetings.
- Prepare meeting agendas, take minutes, and follow up on action items.
Communication:
- Act as a liaison between the MD and internal/external stakeholders.
- Draft high-level correspondence and communications on behalf of the MD.
- Maintain professionalism and confidentiality in all interactions.
Project Assistance:
- Assist in managing and tracking key strategic projects and initiatives.
- Conduct research, prepare briefing materials, and compile data for decision-making.
Office & Team Support:
- Coordinate with department heads and teams on behalf of the MD.
- Help organize corporate events, town halls, and staff briefings.
- Support with expense reports, reimbursements, and other office procedures.
Qualifications:
- Bachelor's degree in Business Administration, Management, or related field.
- 1 + years of experience as an Executive Assistant or in a similar role supporting C-suite executives.
- Exceptional organizational, communication, and interpersonal skills.
- Ability to multitask and work well under pressure in a fast-paced environment.
- High level of integrity and discretion in handling confidential information.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom, Slack).
Preferred Skills:
- Experience working in a corporate or multinational environment.
- Strong problem-solving and decision-making skills.
- Familiarity with project management tools or basic financial reporting.
Working Conditions:
- Office-based with occasional travel required.
- May require flexible hours based on MD's schedule.
