We are seeking a highly organized and proactive Executive Assistant cum Office Coordinator to support senior management and ensure smooth day-to-day operations of the office. This dual-role position involves providing high-level executive support as well as managing general office functions, including vendor management, facilities coordination, and administrative tasks.
Key Responsibilities:Executive Assistant Duties:
- Provide administrative support to senior executives (calendar management, travel arrangements, expense reporting).
- Draft and proofread emails, reports, presentations, and other documents.
- Organize and coordinate internal and external meetings, including taking minutes and following up on action items.
- Handle confidential information with a high level of discretion and professionalism.
- Liaise with internal departments and external stakeholders on behalf of the executive.
Office Coordination Duties:
- Oversee day-to-day office operations, ensuring a clean, safe, and efficient work environment.
- Manage office supplies inventory and place orders when necessary.
- Coordinate with vendors, service providers, and building management.
- Organize office events, team activities, and internal communications.
- Maintain records and files in a systematic and accessible format.
- Onboard new hires by preparing workstations and necessary documentation.
Qualifications:
- Bachelor's degree in Business Administration or related field (preferred).
- 3+ years of experience in a similar administrative or office coordination role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Ability to work independently and prioritize tasks effectively.
- Professional demeanor and ability to handle sensitive information discreetly.
Preferred Skills:
- Experience supporting C-level executives.
- Familiarity with tools like Zoom, Slack, Asana, or similar platforms.
- Basic knowledge of HR or facilities management is a plus.
